Purpose of Role
To provide administrative and operational support to the Enforcement Operations team, assisting with case processing, client communication, and general coordination activities.
This role ensures that cases are accurately set up, maintained, and progressed in line with internal processes and service level agreements, while supporting the wider team in delivering excellent client service.
Key Responsibilities
Administrative & Operational Support
- Assist with the processing of new client instructions and case setup on internal systems
- Maintain accurate records and ensure data is input correctly and updated regularly
- Support the team in managing case workflows and tracking progress
- Monitor shared inboxes and route emails to the appropriate team members
Case Management Support
- Support the lifecycle of cases by updating notes, documents, and statuses
- Assist with allocating cases to panel members under supervision
- Help identify missing information or issues and escalate where needed
- Support resolution of basic case queries and follow-ups
Client & Stakeholder Support
- Act as a first point of contact for general client queries, ensuring timely and professional responses.
- Assist in maintaining positive relationships with clients and panel members
- Support the team in preparing client reports, updates, and review materials
Communication & Coordination
- Handle incoming and outgoing calls, emails, and correspondence professionally
- Liaise with internal teams and external partners to support case progression
- Ensure all communications are clear, accurate, and aligned with company standards
Quality, Compliance & Process Support
- Follow standardised processes and ensure adherence to company procedures
- Support compliance with ISO and regulatory requirements
- Identify potential errors or inconsistencies and raise them to senior team members
- Assist with maintaining accurate documentation and audit trails
General Team Support
- Provide administrative assistance to the wider operations and account management teams
- Support onboarding tasks for new clients or cases (e.g., documentation, data input
- Contribute to process improvements by raising ideas and feedback
- Assist with ad hoc operational tasks as required
Key Skills & Experience
Essential
- Strong attention to detail and accuracy in data entry
- Good organisational and time management skills
- Ability to follow processes and work to deadlines
- Good communication skills (written and verbal)
- Basic IT skills including Microsoft Office (Excel, Word, Outlook).
- A proactive attitude and willingness to learn
Desirable
- Previous administrative or customer service experience
- Experience working in a busy office or operations environment
- Exposure to case management or CRM systems (e.g., Salesforce)
- Interest in enforcement, legal, or financial services sector
