ROLE PURPOSE
This is a varied, responsible role supporting the Managing Director with customer care, delivery follow-up, finance admin and the day-to-day smooth running of the business.
As the business grows, we are looking for someone highly organised, capable and confident who can take ownership of key office admin tasks, customer service follow-up, delivery issues, Xero admin and general business support.
This role would suit an experienced administrator who enjoys keeping things organised, closing loops, solving problems calmly and making sure the details are taken care of.
As with any small growing business, there will also be times when flexibility is needed to support the wider team during busy periods, seasonal peaks or holiday cover.
YOUR RESPONSIBILITIES
Customer Care & Delivery Support
· Answer routine customer calls and emails in a friendly, professional manner
· Help with customer order and delivery queries
· Liaise with DHL regarding delayed, failed or problematic deliveries
· Track delivery issues and update customers where appropriate
· Log customer service issues clearly and escalate anything complex, urgent or sensitive
· Support the team in maintaining high standards of customer care
Finance & Xero Admin
· Raise and send customer invoices
· Support day-to-day Xero administration
· Upload and file receipts and supplier invoices
· Check invoice and payment status
· Issue monthly statements to trade customers
· Chase overdue payments where required
· Match supplier invoices against orders where needed
· Keep finance paperwork accurate and organised
Office & Business Administration
· Support the Managing Director with general day-to-day business administration
· Manage routine office admin tasks, records and filing
· Keep digital folders, documents and spreadsheets organised
· Maintain simple trackers and records to help the business run smoothly
· Support with utilities, office suppliers, renewals and general service providers
· Book appointments, services or repairs where needed
· Help create and maintain simple checklists and processes for recurring tasks

WHO WE’RE LOOKING FOR
This role would suit someone who:
· Has previous experience in office administration, business support, customer service, finance admin or a similar role
· Is highly organised, reliable and detail-focused
· Is confident speaking to customers, suppliers and couriers by phone and email
· Is comfortable using online systems, spreadsheets and business software
· Has experience with Xero or similar accounting software, or is confident learning it
· Can work independently once trained
· Enjoys solving problems and closing loops
· Is calm under pressure and able to prioritise when several things need attention
· Takes pride in accuracy, presentation and doing things properly
· Understands the importance of confidentiality and professionalism
· Is happy working in a small business where priorities can vary from day to day

HOURS & PAY
· Part-time: 16 hours per week
· Preferred working pattern: 4 hours per day, 4 days per week
· Ideal hours: around 11am–3pm, although some flexibility may be available for the right person
· Paid overtime may be available during busy periods, shows and events, especially at Christmas
Pay: £15.00 per hour
