Pro FS is an independent, family run business that provides 3PL fulfilment services to international e-commerce retailers from our UK warehouse to customers globally.
We receive, store, manage, and ship out orders for our E-commerce retail clients, fulfilling orders on their behalf, directly to their customers. Its a quickly changing environment and can be high pressure, which also means its interesting!
The Role:
We are currently looking to appoint an Office Administrator to join our busy Administration Department. This position will be covering a broad range of administrative tasks within the Finance, HR, Health & Safety & Facilities administration areas of the business. You will work closely with the Head of Administration and small team to ensure the day-to-day tasks are completed accurately, efficiently and on a timely basis. The role is varied - no two days will ever be the same!
Finance Related Responsibilities:
- Full maintenance of purchase ledger (AP) and payment scheduling
- Responsibility for the sales ledger (AR) administration including input of manual billing entries, data review, raising & issue of invoices with supporting reports and collection monitoring.
- Bank account review, payment scheduling and preparation, matching of payments and reconciliations.
- Supporting of month-end processes
- Administration of petty cash and company credit card transactions with monthly analysis and reporting
- Fixed asset register maintenance
General Office Administrator Responsibilities:
- HR Administration: ensuring all employee records are kept up to date on the HR platform, updating contracts, holiday requests, absence reporting, time sheets etc.
- Managing the new starter & induction processes (FTE’s & Agency workers)
- H&S Administration: Maintaining records of health and safety training on online training platforms, mandatory equipment and facilities inspections, DVLA licence checks etc.
- Facilities Administration: co-ordination of facilities upkeep & maintenance
- Supplier Purchasing Administration
- Communicate and respond to client’s Carrier Tracking inquiries promptly via email
- Process, monitor and keep track of shipping claims against carriers for clients
- Ad hoc administrative duties as required

Requirements:
- 3+ years’ relevant experience in a similar position mandatory
- Ability to prioritise and work well under month end pressures – and self motivate to achieve.
- Process-driven, a methodical and organised approach to work is key, with strong administrative skills
- Accuracy and high attention to detail required
- Must be conscientious and willing to take ownership & responsibility
- Ability to work in fast fast-paced environment
Preferable:
- Bookkeeping skills
- AAT Accounting Level 2+ (as a minimum)
- QuickBooks and/or Microsoft Dynamics - Business Central experience
- A CIPD qualification (or working toward similar or relevant qualification) and up to date employment law knowledge is not essential but would be an advantage.
- Someone who has worked in an entrepreneurial SME environment – with an independent but professional approach
- Previous experience working with business process mapping (BPM) software apps such as Process.st.
- If you have worked in a warehouse, 3PL/e-commerce fulfilment, or logistics that would be a bonus too!
Terms:
- The standard pay rate between £28,300.00 and £34 000.00 per annum, pro rata depending on experience and skills. (standard hours 35 hrs per week Monday to Friday)
- Working hours – flexible for the right candidate but must be on-site Monday to Friday, shift working hours are flexible, full-time position
