Job Summary
Sustainability & Supply Chain Administrator
Reports to: Head of Product Impact
Location: Hybrid 1 day a week in Knutsford Cheshire
Hours: Part-time (20 hours per week)
Role Purpose
To provide administrative support across reporting, sustainability, supplier compliance and supply chain activities.
The role is responsible for collecting and maintaining data, producing regular reports, coordinating information from licensees and suppliers, maintaining records, and supporting the delivery of supply chain and sustainability projects.
The position plays an important role in ensuring information is accurate, up to date and readily available to support business decisions and client reporting.
Key Responsibilities
Reporting & Data Administration
- Coordinate monthly data collection from licensees.
- Monitor reporting deadlines and chase outstanding information.
- Review data submissions and identify any missing information.
- Maintain reporting spreadsheets, databases and records.
- Produce regular client and management reports.
- Assist with report standardisation and continuous improvement.
- Maintain accurate filing and document control.
Sustainability & Compliance Administration
- Collect and maintain sustainability and supplier compliance data.
- Track supplier certifications, accreditations and audit status.
- Follow up with suppliers and licensees for missing information.
- Maintain sustainability reporting records and supporting evidence.
- Support client sustainability reporting requirements.
- Ensure records are accurate, organised and audit-ready.
Supplier & Supply Chain Administration
- Maintain approved supplier databases.
- Support supplier onboarding and due diligence activities.
- Track supplier documentation and renewal dates.
- Update supplier records and compliance status.
- Assist with quality and compliance reporting.
- Support administration of supplier audits and corrective actions.
Project & Governance Support
- Provide administrative support to supply chain and sustainability projects.
- Arrange meetings, prepare agendas and record minutes.
- Maintain action logs and follow up on agreed actions.
- Keep project documentation up to date.
- Support communication between stakeholders and licensees.
- Assist with preparing updates and reports for management meetings.
Reporting Line
The role reports directly to the Head of Product Impact and works closely with licensees, suppliers and internal teams across Client Services, Procurement, Finance and Sustainability.
Skills & Experience
Essential
- Strong administration and organisational skills.
- Excellent attention to detail.
- Good Microsoft Excel and Microsoft Office skills.
- Experience maintaining records and reports.
- Good communication and follow-up skills.
- Ability to manage multiple tasks and deadlines.
Desirable
- Experience in reporting, administration or compliance.
- Knowledge of supply chain or procurement processes.
- Sustainability or ESG reporting exposure.
- Experience using Power BI or similar reporting tools.
