We are seeking a skilled Support Officer to join our Housing Services team on a 7-month contract. This role is crucial in providing high-quality administrative and business support, ensuring the smooth operation of housing repairs, disrepair cases, damp and mould programmes, and complaints management. The successful candidate will be instrumental in coordinating works, maintaining accurate records, and supporting both residents and stakeholders, thereby contributing significantly to the efficiency of housing operations.
Housing Repairs & Disrepair Support:-
Provide administrative support for housing repairs and maintenance services.

Process and monitor repair orders through to completion.

Ensure appropriate Schedule of Rates (SOR) codes are applied.

Liaise with residents, contractors, surveyors, housing officers, and other stakeholders.

Monitor progress and resolve issues affecting service delivery.

Damp & Mould Case Coordination:

Support the delivery and coordination of damp and mould programmes.

Schedule and monitor inspections and repair works.
-
Coordinate activities between contractors, residents, surveyors, and support agencies.

Proactively identify and resolve barriers to service delivery.

Customer Service & Complaint Resolution:

Respond to enquiries from residents and service users.

Assist with complaints handling and service requests.

Work with colleagues to ensure responses are delivered within agreed deadlines.

Deliver excellent customer service and maintain positive stakeholder relationships.

Administrative & Business Support:

Provide proactive administrative support across Housing Services.

Process incoming correspondence and documentation.
-
Maintain accurate records, logs, registers, and electronic filing systems.

Prepare meeting papers, agendas, and supporting documentation.

Take accurate notes and minutes where required.

Reporting & Data Management:
-
Collate and analyse service information.
-
Produce reports on repairs performance, contractor performance, inspections, disrepair cases, and service delivery activity.

Support the development and maintenance of management information systems.

Ensure records are accurate, up-to-date, and compliant with Council requirements.

Financial Administration:

Process purchase orders, invoices, compensation payments, and fees.

Assist with budget monitoring and financial reporting.

Ensure financial records are accurate and maintained appropriately.

Support financial administration processes within the service.

Meetings & Events:

Organise meetings, inspections, case conferences, and service reviews.

Coordinate diaries, invitations, venues, travel, and supporting documentation.

Assist with training events and service-related activities.

Partnership Working:

Build effective working relationships with residents, contractors, surveyors, housing officers, legal services, social care teams, health services, and external agencies.

Support collaborative working across Housing Services and the wider Council.

Compliance & Governance:

Ensure compliance with data protection requirements, safeguarding policies, health & safety procedures, and Council policies and procedures.

Maintain confidentiality and professionalism at all times.
Requirements:
Essential:-
Strong administrative experience within Housing, Property Services, Repairs, Maintenance, Local Government, or a similar environment.

Experience coordinating repairs, maintenance works, or service delivery activities.

Experience dealing with residents, contractors, surveyors, and internal stakeholders.

Excellent customer service and communication skills.
-
Experience using IT systems for record management, reporting, and administration.

Strong organisational skills with the ability to manage competing priorities.

Experience producing reports, statistics, and management information.
-
Experience processing financial information, purchase orders, invoices, or payments.

Ability to work independently and as part of a team.

Desirable:

Previous Local Authority experience.

Experience supporting Housing Repairs, Disrepair, Damp and Mould, or Property Services teams.

Experience working with Schedule of Rates (SOR) codes.
