Due to the high levels of fleet activity at our newly opened Fleet Hub, at Westmead Industrial Estate we are looking for a Fleet Administrator to join the team. You’ll be an integral member of the fleet department working with the team ensuring that all fleet orders are checked and made with precision and that you provide effective assistance from point of enquiry to delivery. You will have the opportunity to work across a number of innovative car manufacturers in this role.
The ability to liaise confidently with customers on the phone, prior, during and after the order is essential.
After the vehicles have arrived at the dealership, you will primarily be responsible for ensuring the vehicles are processed through the preparation stages and that all requirements from the lease company are met, in a timely efficient manner and maintaining our SLA’s with our partners.
You will be responsible for ordering fleet packs from our suppliers and maintaining a process that ensures all our supplier agreements are maintained.
You will work within a knowledgeable Fleet Logistics team, Senior Fleet Administrator and Fleet Sales Manager to make sure that we have booked the necessary delivery agent and that all hand over checks and documentation are prepared.
Maintaining our Fleet CRM systems and data entry will be required to assist the Fleet Department.
This is a role that requires the job holder to carry out their responsibilities in a timely and accurate manner so time management and the ability to proactively prioritise your workload is essential. Co-ordination and organisation will be vital to this role and therefore candidates will be able to multitask without reducing the levels of customer service provided to either the end customer or the lease company.
Previous office administration experience would be desirable and an understanding of IT software, including Excel and other platforms.
This a Monday to Friday position, working 40 hours per week.
Criteria required:
- Eligibility to work in the UK
- A full UK driving licence, with less than 7 points
- Flexibility to work hours required to carry out the role effectively and to travel to training sessions.
- Qualifications and experience required:
- Experience working within an administration or sales support function
- Customer handling experience with a customer 1st approach
- Previous Automotive experience preferable, but not essential
- Good level of general education - at least GCSE English and Maths and ideally A-Levels or an equivalent qualification
- Skills and behaviours needed:
- Analytical and numerical skills
- Attention to detail is key to this role
- Ability to build and maintain effective relationships
- Confidence and ability to talk to contacts internally and externally, at all levels
- Ability to work unsupervised and as part of a team
- Strong IT skills
- Fleet knowledge desirable but ability to learn the complexities quickly is essential
