Our People Team is made up of around 40 friendly, dedicated colleagues. Together, we support the firm across four key streams: Recruitment & Resourcing (R&R), Human Resources, People Analytics and Talent Development.
Within the R&R stream, our Resourcing team supports the planning and deployment of audit professionals onto client projects across multiple business areas using Dayshape, our workforce planning and resource management system. The team has grown significantly over the past few years and now consists of five specialists.
Our Recruitment team consists of five specialists, each responsible for the end-to-end hiring process for teams across the firm – with a focus on either early careers and experienced hires. As a team, candidate experience is a priority, as is ensuring a seamless recruitment service to our stakeholders within the business.
Due to a period of particularly high activity, we are looking for a proactive and detail-orientated Administrator to join our Recruitment & Resourcing team on a 4 month fixed-term contract. This is a varied and fast-paced administrative role, supporting both workforce planning and deployment activities, as well as coordinating recruitment processes across the firm.
This role provides an excellent opportunity to gain experience across both recruitment and workforce planning within a professional services environment, offering exposure to a wide variety of people processes and stakeholders across the firm. You will receive full training on our systems and work closely with supportive colleagues across Recruitment, Resourcing and the wider People Team.
Recruitment
- Schedule interviews by liaising with candidates, hiring managers and agencies to coordinate availability, arrange meeting invitations and book interview rooms where required.
- Coordinate the onboarding of new joiners, preparing and issuing contracts and onboarding documentation, tracking progress and following up to ensure all activities are completed on time.
- Maintain accurate and up-to-date records, systems and trackers, including our Applicant Tracking System (ATS) and supplier documentation.
Resourcing
- Maintain accurate and up-to-date client project and booking information within Dayshape.
- Amend and manage client bookings in Dayshape.
- Manage the holiday booking process for trainees in Dayshape.
- Ensure all job bookings are applied consistently and fairly across teams.
- Collaborate with Resourcing Advisors to add new trainees, remove leavers, and reallocate client work as required.
- Partner with the wider Resourcing team to support forward planning for client work across business areas.
- Attend resourcing meetings and provide follow up administrative support, including updates and actions arising from discussions.
Joint and Cross-People Team Support
- Managing and organising queries sent to the shared team email inboxes.
- Manage multiple administrative tasks and competing priorities while maintaining a high level of accuracy and attention to detail.
- Providing ad‑hoc assistance across Recruitment, Resourcing and wider People Team activities, projects and events.
Essential
- Experience within an administrative role.
- Experience coordinating interviews or meetings and managing administrative processes involving multiple stakeholders.
- Exceptional organisational skills and the ability to manage multiple priorities effectively.
- Strong attention to detail and the ability to maintain accurate records.
- Confidence using Microsoft Office applications and learning new systems quickly.
- Ability to work effectively under pressure in a fast-paced environment.
- Strong written and verbal communication skills, with the confidence to work with colleagues across the firm.
- A collaborative approach and flexibility in supporting a range of tasks and priorities.
- Ability to take ownership of tasks, manage workload effectively and work independently when required.
