JOB SUMMARY
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Provide general assistance to the Practice Team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Half yearly social events and a supportive team environment.
For operational reasons, this role requires availability and flexibility to work a combination of shifts between 07:45-18:30 on Mondays – Fridays.
Regular shifts will include:
Mon 13.30-18.30
Wed 7.45-15.30
Thursday 7.45-11.45
Fri 7.45-15.30
22.5 hours
On completion of probation period the post holder will be eligible for a pay review.
The post holder will be required to pass a DBS check.
JOB RESPONSIBILITIES
Administration
- To have a thorough knowledge of all Practice procedures.
- To work in accordance with written protocols
- Updating notes as necessary
- Provide clerical assistance to the team, including word / data processing, filing and photocopying as requested
Reception
- Receiving patients consulting with members of the Practice team and directing them appropriately
- Covering the reception and enquiry desks as necessary
- Advising patients of relevant charges for private services, accepting payment and issue receipts for payment
- Maintaining the reception area, keeping notice boards tidy, up to date and free from clutter
Appointments
- Processing appointment requests for the day or future appointments from patients by telephone and in person
- Logging visit requests following the protocol, ensuring careful recording of all relevant details and where necessary referring to the duty Doctor
Computer
- Registrations of new patients – computer data entry and medical records
- Processing patients change of address – computer data and medical records (have knowledge of Practice geographical area)
- Processing repeats prescription requests ensuring that all prescriptions handed over are logged appropriately in accordance with Practice guidelines
Telephone
- Have working knowledge of telephone system, during and after closing hours
Other Tasks
- Processing and distribution of incoming and outgoing mail
- Clearing rooms after surgeries
- Ensuring building security – have thorough knowledge of doors / windows / alarm
- Ensure the public areas are clean and tidy
- When working on a late duty, clearing the kitchen areas and locking up
- Any other tasks allocated by managers

- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
- In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data
Pay £12.71 ph, with a 6 month probation period.
