Purpose of the Role
We are Scotland's largest fireplace and stove showroom, with several shops in the Edinburgh area. Flames have been keeping Scotland warm for over 25 years.
We are seeking a highly skilled, organised and motivated Senior Administrator to join our small team at our Flames Superstore at Stenhouse Mill Wynd, Edinburgh.
The ideal candidate will play a pivotal role in ensuring the smooth operation of our business by providing comprehensive administrative support in our office. This position requires a proactive individual with exceptional organisational skills and the ability to manage multiple tasks efficiently.
The Senior Administrator will be responsible for maintaining office systems, managing data entry, taking incoming calls from customers, responding to email enquiries and ensuring effective communication with customers, installers and other departments, and other related tasks.
Key Responsibilities
1. Accurately enter new orders onto our database and send relevant communications to customers and installers by email.
2. Answering incoming telephone calls in a positive and efficient manner.
3. Filing completed orders and supporting paperwork.
4. Providing regular updates to customers and installers on the status of orders.
5. Raising purchase orders, sending these to suppliers via email and obtaining regular updates on the delivery of incoming goods.
6. Supporting with general office administration tasks.
Skills, Knowledge and Experience
1. Good ability with Microsoft applications inc. Word, Excel, Outlook and Access
2. Excellent communication skills, with strong customer service skills.
3. Self- motivated individual who can prioritise workload, multitask in a calm manner and achieve deadlines, and work independently
4. Be trustworthy and understand the need for confidentiality.
5. Careful and conscientious with an aptitude for attention to detail.
6. Willingness and ability to learn on the job, keen to undertake training and career development.
You will be working 40 hours per week. 8am-4.30pm on a Monday and 8.45am-5.15pm on Tuesday – Friday.
Job Types: Full-time, Permanent
Pay: £16.00-£18.00 per hour
