We are looking for an enthusiastic, adaptable and self-motivated individual with excellent attention to detail.
Initially working from Home but able to attend our Amesbury Office when required (Within commuter distance)
The role is varied, but day to day, involves a high level of planning, coordinating, and communication at all levels. Working in a fast paced, target driven and professional company, the candidate must be able to juggle multiple tasks independently and efficiently. In addition, due to the nature of the work, the candidate must have impeccable attention to detail and communication skills and be able to work well under pressure. Able to adapt to changes and support the MacLennan Administration team as necessary.
Responsibilities:
The extent of your duties will include but are not limited to:
- Taking inbound telephone calls for the Company.
- Qualifying all inbound enquiries and logging them onto internal CRM system.
- Managing all surveyor’s diaries, booking in quotation slots and surveys as required.
- Coordinating all communication between surveyors and clients, ensuring company records are kept up to date with all conversations.
- Communicating with Team Leader & Commercial Director regarding success with clients.
- Handling all inbound manufacturer’s leads and following up accordingly.
- Periodic checks of the enquiries to ensure all have been actioned as required.
- Liaising with architects, quantity surveyors and structural engineers to increase likelihood of securing projects.
- Liaising with customers who submit online requests for assistance through the company website.
- Handling all customer complaints, allocating to senior member of staff and tracking through to completion.
- Monitoring the Supply Chain to ensure they comply with requirements of our ISO 9001:2015 accreditation.
- Compiling of O&M Manuals for all projects we work on and issuing them upon completion of project.
- Maintaining the company’s CRM system to ensure all information is available and correct.
- Assisting with client pre-qualification requests for company information as and when required.
- Assisting with H&S Platform accreditations as and when required.
- Assisting with quality management procedures and maintaining documentation as and when required.
- Packaging up Quotes to send to clients.
- Creating deal sheets from sales to our contracting team.
- Creating site risk assessments to send to clients.
- The role may change at a later date to include other roles.
Requirements:
- Proficiency with the Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
- Experience with Project Sales Achiever would be an advantage but full training will be provided.
- Ability to prioritize and handle multiple tasks at any given time.
- Ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action.
- Ability to communicate effectively written and verbal with a variety of clients and colleagues at all levels.
- High levels of attention to detail.
- Must be flexible and committed to supporting the team.
- This role will report to the Commercial Director with the successful candidate required to work from the Office.
