Lomax & Chi is an Interior Architecture & Design studio based in Islington, London. We specialise in creating beautifully considered homes that are both timeless and deeply personal to the families who live in them.
Working across London and throughout the UK, we provide a complete design service, from concept design and technical detailing through to procurement, installation and project completion. Every project is approached with creativity, attention to detail and a genuine passion for improving the way people live.
As our studio continues to grow, we are looking for a highly organised, proactive Office Administrator to support the day-to-day running of the business. This is a varied role that combines office administration, finance support, project coordination and marketing, making it ideal for someone who enjoys wearing multiple hats within a creative environment.
The Role
This is a part-time position supporting the Director and wider design team with the smooth day-to-day operation of the studio. You'll be responsible for ensuring administrative systems are organised, project finances are kept up to date and the business runs efficiently behind the scenes. The role requires you to be in the office, please note this is not a remote postion.
No two days are the same, so we're looking for someone who enjoys variety, takes initiative and has excellent attention to detail.
Key Responsibilities:
Office Administration
- Managing the day-to-day running of the office
- Supporting the Director with general administrative tasks
- Maintaining digital filing systems and project documentation
- Coordinating meetings, appointments and diaries
- Preparing documents, reports and client correspondence
- Assisting with HR administration, holiday records and onboarding documentation where required
Accounts & Finance
- Managing purchase invoices and supplier records
- Using Xero to prepare and issue client invoices
- Chasing outstanding payments where necessary
- Reconciling project procurement against supplier invoices
- Monitoring project expenditure and assisting with budget tracking
- Processing expenses and credit card reconciliations
- Liaising with the company's book keepers, accountant and suppliers when required
- Maintaining accurate financial records and filing
Project Support
- Assisting with project schedules and programme tracking
- Updating procurement schedules and delivery trackers
- Monitoring project budgets alongside the design team
- Tracking supplier orders and delivery dates
- Coordinating information between clients, suppliers and contractors
- Assisting with project administration from concept through to installation
Marketing & Social Media
- Assisting with the planning and scheduling of social media content
- Maintaining image libraries and project photography
- Helping prepare marketing material & newsletters
- Supporting website updates and portfolio administration
- Monitoring social media engagement and assisting with content creation
- Helping maintain the studio's brand across all communications
About You
We're looking for someone who is:
- Exceptionally organised with strong attention to detail
- Friendly, professional and confident communicating with clients and suppliers
- Able to prioritise multiple tasks and manage their own workload
- Comfortable working independently whilst supporting a small team
- Proactive and happy to take ownership of tasks
- Numerate and confident working with financial information
- An interest in interiors, architecture or the creative industry
Skills & Experience
Essential:
- Previous experience in an administrative or office support role
- Experience using Xero
- Excellent Microsoft Office skills (Word, Excel and Outlook)
- Strong written and verbal communication skills
- Excellent organisational and time management skills
- High level of accuracy and attention to detail
Desirable:
- Experience within an interior design, architecture or construction practice
- Knowledge of procurement processes
- Experience assisting with project budgeting
- Familiarity with social media platforms including Instagram, Pinterest and LinkedIn
- Experience using project management software and Adobe Creative Suite

Pay: £35,000.00-£45,000.00 per year
