We’re looking for a Document Controller & Secretariat Support Administrator (Grade 8) to join the Rules Management team at Elexon on a permanent basis.
In this role, you’ll provide critical secretariat support to industry committees and ensure the accurate control and implementation of rulebook documentation across the GB electricity market. You’ll work at the centre of governance activity, supporting committees, stakeholders, and internal teams by delivering high-quality minutes, documentation, and administrative coordination.
This role requires an individual with exceptional attention to detail, a methodical approach, and proven experience in minute taking and stakeholder engagement.
What you’ll do:
Attend meetings and produce clear, accurate minutes for committees and stakeholders
Coordinate and publish agendas, papers, actions, and reports
Support planning and delivery of committee meetings and schedules
Act as a key contact for internal and external stakeholders, managing communications and mailboxes
Maintain committee records, actions, and membership information
Ensure rulebook changes are implemented accurately and in line with agreed timelines
Review and quality check tracked changes documents, resolving formatting and version conflicts
Publish documentation to Digital Code platforms and maintain version control
Support stakeholders with document updates, formatting, and best practice guidance
Liaise with Project Managers, Change Leads, and SMEs to support delivery of changes
Maintain and improve process documentation and knowledge management content
Identify and drive continuous improvement in governance and documentation processes
What you’ll bring:
Experience in a secretariat, administrative, or coordination role
Proven experience in minute taking for formal meetings or committees (essential)
Strong stakeholder engagement experience, including working with internal and external stakeholders
Excellent written communication skills with strong attention to detail and accuracy
Experience coordinating meetings, agendas, and governance processes
Strong organisational skills with the ability to manage multiple priorities and deadlines
Experience using Microsoft Word (including Track Changes), Excel, and PowerPoint
Ability to work independently and as part of a team in a fast-paced environment
Experience in document control, governance, or regulated environments (desirable)
Familiarity with SharePoint or document management systems (desirable)
