Job Overview
We are seeking a highly organised and detail-oriented Business Support Officer to join our team, supporting the smooth daily operations of our organisation across passenger transport, property management, cleaning services, and residential care activities. This role involves providing essential administrative support across departments, helping coordinate schedules, records, and communications for our multi-site operations. The successful candidate will use their office experience, strong computer skills, and excellent communication abilities to contribute to organisational efficiency and growth.
Responsibilities
- Manage day-to-day administrative tasks including data entry, filing, and document management across departments (transport, property, cleaning, and care services).
- Handle incoming calls and enquiries from tenants, clients, staff, and service users with professionalism.
- Assist in scheduling staff rotas, transport bookings, property viewings/maintenance appointments, and cleaning contracts.
- Prepare reports, correspondence, and records using Microsoft Office applications (Word, Excel, PowerPoint).
- Maintain accurate records for tenancy agreements, service contracts, staff files, and compliance documentation.
- Use QuickBooks or similar software for basic invoicing, expense tracking, and financial record keeping.
- Support coordination of supplies and resources across sites (e.g. cleaning materials, care home supplies, vehicle needs).
- Ensure accurate data entry and record-keeping within organisational databases and Google Workspace tools.
- Provide general clerical support including photocopying, scanning, and email correspondence with tenants, contractors, and regulatory bodies.
Experience/Requirements
- Proven office or administrative experience, ideally within a multi-service organisation (housing, care, transport, or facilities).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Experience with QuickBooks or similar accounting software is advantageous.
- Strong organisational skills with the ability to prioritise tasks across different departments.
- Excellent typing skills with attention to detail for accurate record-keeping.
- Good telephone etiquette and professional communication skills, especially when liaising with tenants, care service users, or contractors.
- Familiarity with clerical procedures and data management systems is desirable. Students On PSW Visa or Student Visa are welcome to apply.
Pay: £41,700.00 per year
