Job Title: People Administrator
Location: Witney (with travel across Guideposts sites as required)
Hours: Part-time (15–20 hours/week across 4- 5 days)
Salary: £10,140-13,520 per annum gross (pro-rated based on agreed part-time hours)
Are you a detail-driven HR professional? Guideposts is looking for an HR administrator to support our recruitment and training processes, helping us build and nurture a thriving, well-supported workforce.
This role would suit someone with strong administration skills who is looking to develop experience in people administration, training coordination and volunteer support.
Purpose of the Role
The People Administrator will provide comprehensive administrative support to the Head of People & Wellbeing across all employees, volunteer, training and compliance activities.
The role is responsible for maintaining accurate records, supporting recruitment and onboarding processes, coordinating training administration, managing volunteer records and ensuring documentation remains compliant, up to date and audit ready.
The postholder will also support a variety of People & Wellbeing projects, taking ownership of administrative tasks and activities delegated by the Head of People & Wellbeing.
This is a hands-on administrative role and is not an advisory or management-level HR position.
Key Responsibilities
People Administration
- Provide day-to-day administrative support to the Head of People & Wellbeing.
- Prepare contracts, offer letters, amendments and routine correspondence.
- Maintain employee files and HR systems.
- Support recruitment administration, including interview scheduling and candidate communication.
- Process new starter, probation, change and leaver administration.
- Maintain absence, holiday and people-related records.
- Prepare reports, spreadsheets and trackers as required.
Volunteer Administration
- Support volunteer recruitment and onboarding activities.
- Maintain volunteer records and databases.
- Coordinate volunteer inductions and onboarding documentation.
- Monitor volunteer compliance requirements.
- Act as a first point of contact for volunteer administration queries.
- Support volunteer engagement and recognition initiatives.
Training & Development Administration
- Coordinate internal and external training activities.
- Book training courses and liaise with providers.
- Maintain training records and training matrices.
- Monitor training completion and renewal dates.
- Produce training reports and compliance updates.
- Support organisational learning and development initiatives.
Compliance & Records Management
- Maintain employee and volunteer records to organisational standards.
- Monitor DBS renewals, Right to Work checks and compliance requirements.
- Undertake regular audits of employee and volunteer files.
- Identify and follow up on missing documentation.
- Ensure records are maintained in line with GDPR requirements.
- Maintain electronic and paper filing systems.
Project Support
- Provide administrative support for People & Wellbeing projects.
- Assist with data cleansing and record improvement exercises.
- Support audits, inspections and compliance reviews.
- Undertake project-related tasks delegated by the Head of People & Wellbeing.
- Assist with the implementation of new processes and initiatives.
What We’re Looking For
- Minimum 2 years’ experience in a generalist HR role, with strong admin skills
- Excellent organisational and communication abilities
- Confidence using HR systems and Microsoft Office tools
- A proactive, flexible approach and a genuine interest in supporting others
- DBS check and full driving licence required
- Experience in the social care sector is a plus
