Burmatex® is one of the UK’s leading designers and manufacturers of contract carpet tiles and planks.
We are seeking a highly organised and proactive Business Support Coordinator to provide support across Finance, HR and general office administration. This varied role will also provide administrative support to the CEO.
Job Purpose
The Business Support Coordinator is responsible for supporting the efficient day-to-day running of the business. The role includes administering the purchase ledger, coordinating general office activities, supporting some front-of-house duties and providing confidential administrative assistance to the CEO and HR.
This position would suit someone who enjoys variety, has excellent organisational and communication skills, and is confident taking ownership of tasks.
Principal Responsibilities
- Monitor the purchase ledger email inbox daily.
- Forward supplier invoices and credit notes for scanning and processing.
- File supplier statements for processing by the Finance team.
- Respond to supplier queries or refer them to the appropriate colleague.
- Review automatically captured invoice data to ensure information is accurate, including invoice dates, due dates, invoice numbers, values, VAT amounts, approvers and general ledger codes.
- Manually enter one-off invoices and create supplier return authorisations and credit notes within NetSuite.
- Chase invoice approvers weekly to support timely processing and payment.
- Develop knowledge of additional finance activities, including supplier statement reconciliations, payment runs and bank reconciliations.
- Meet and greet visitors and notify the relevant colleague of their arrival.
- Answer and screen calls received through the general enquiries line, directing them to the appropriate department.
- Provide general administrative support, including preparing correspondence, power point presentations, mail merges, spreadsheets and other documents.
- Manage incoming and outgoing post, frank mail, track parcels.
- Coordinate basic office activities, including kitchen set-up, lunch orders and general office upkeep.
- Provide diary, email, travel and general administrative support to the CEO.
- Handle confidential information relating to the CEO, HR and other areas of the business with discretion.
- Support departments across the business with ad hoc administration, including marketing and sales correspondence.
Personal Specification
- Previous experience in a office admin, accounts administration, HR or similar role.
- Highly organised, proactive and able to manage changing priorities.
- Excellent attention to detail and a high level of accuracy.
- Professional, approachable and confident communication style.
- Able to handle sensitive and confidential information with discretion.
- Competent in Microsoft Office, particularly Word, Excel, Outlook and PowerPoint.
- Experience using NetSuite or similar accounting software would be advantageous but not essential as full training will be given.
- Able to work effectively as part of a team while also using initiative.
- Flexible and willing to learn, develop and take on additional responsibilities.
Working Hours and Location
This is a full-time, onsite role based at our Ossett site, working Monday to Friday, 8.30am to 5.00pm, with a one-hour lunch break.
The role reports to the Head of HR.
