Job Overview
As a Key Account Administrator, you will play a pivotal role in supporting the delivery and quality of our training operations for Key Accounts. You will be responsible for the accurate and timely administration of all key client course documentation, coordinating training logistics, uploading of results and trainee details to awarding body portals, and maintaining comprehensive training records. In addition, you will be responsible for maintaining and updating the client training matrix and ensuring that all related reports are kept accurate and up to date. The role involves liaising closely with clients and instructors, managing bookings and delegate registrations, and providing essential support to our team of instructor.
Please note this role is office based with no WFH or hybrid option.
Duties
- Administer Key account delegate registrations: respond to enquiries via email or phone call, process bookings, issue joining instructions, manage attendance lists, pre-course, and post-course documentation.
- Maintain and review the training calendar: schedule courses and instructors, allocate venues and resources.
- Manage training-related records and systems: track delegate certification, maintain the certification database.
- Key account updating and maintaining training matrix for key account clients, attending monthly team’s meetings.
- Updating reports and sending in a timely manner to adhere to clients KPIs
Person Specification/ Skills & Experience:
- Proven experience in administration (ideally within health & safety, construction or a regulated sector).
- Strong organisational skills with ability to manage multiple tasks and deadlines.
- Excellent communication skills – both written and verbal – able to engage with clients, delegates, and instructors at all levels.
- IT literate: competent with Microsoft Office (Word, Excel and Outlook), comfortable managing databases/tracking systems.
- Attention to detail: accurate record-keeping, strong administrative discipline.
- Ability to work both independently and as part of a team.
- Professional and service-oriented attitude.
Desirable Experience:
- Experience in the health & safety / training industry.
- Experience of using learning management systems (LMS) or training management software.
- Previous experience working with training matrix’s
What we can Offer you:
- Salary - £13.45 per hour. We require a minimum of 12 hours per week. For example; 9:30am – 3:00pm (Morning – 3hrs), 30 minutes break, followed by 12:30pm to 3:00pm (Afternoon – 3hrs) - 2 Days a week (total 12 hrs). Our business hours are 7:30am to 5:00pm Monday to Friday.

- Holiday – 33 days per year for full time, pro-rated for part-time (25 days annual leave plus 8 listed public holidays), pro-rated if starting or leaving mid-year. Our holiday year runs from January 1st to December 31st. This will increase to 34 days (26 days annual leave plus 8 listed public holidays) after one year of continuous employment and then to 35 days (27 days annual leave plus 8 listed public holidays) after two years of continuous employment.
