About the Role
We are looking for an energetic, organised and reliable Lettings Co-ordinator to join our small, busy student lettings agency in Gloucester.
This is a hands-on role within a small team, so we are looking for someone who is proactive, friendly and happy to get involved in all aspects of the day-to-day running of a lettings office.
You will be dealing directly with students, tenants, landlords, contractors and prospective tenants, helping to ensure properties are let efficiently and that tenants receive a professional and friendly service from their first enquiry through to the end of their tenancy.
No two days are the same, and the successful candidate will need to be comfortable managing several tasks at once, working to deadlines and dealing confidently with tenants and landlords.
Key Responsibilities
- Deal with enquiries from prospective and existing tenants by telephone, email and in person.
- Arrange and conduct property viewings and appointments.
- Coordinate property inspections, maintenance visits and access arrangements.
- Communicate with landlords, tenants, contractors and other third parties.
- Assist with the application and referencing process for new tenants.
- Collect and check required tenant documentation.
- Prepare and maintain accurate tenancy records and property information.
- Assist with tenancy agreements, renewals and move-in and move-out arrangements.
- Help coordinate student move-in and check-out periods, ensuring properties are ready on time.
- Update property listings and assist with advertising available rooms and properties.
- Respond promptly to tenant queries and help resolve day-to-day issues.
- Liaise with contractors and maintenance teams regarding repairs and property issues.
- Keep the office, property and tenant records organised and up to date.
- Assist with rent arrears administration and general tenancy administration when required.
- Assist with deposit administration, including check-outs and recording any relevant issues.
- Ensure paperwork and records are completed accurately and in accordance with company procedures and relevant legislation.
- Carry out general administrative and office duties as required.
- Support other members of the team during busy periods.
The Person We Are Looking For
We are looking for someone who is:

- A strong communicator, both verbally and in writing.
- Proactive and able to use their own initiative rather than waiting to be asked to do something.
- Reliable, punctual and professional.
- Comfortable working in a busy environment where priorities can change quickly.
- Able to remain calm and professional when dealing with difficult or challenging situations.
- Computer literate and confident using email, Microsoft Office and other online systems.
- Accurate and attentive to detail when dealing with tenancy paperwork and records.
- Comfortable working independently while also being a supportive member of a small team.
- Willing to carry out a variety of practical and administrative tasks as part of the role.
Desirable Skills and Experience
Previous experience in lettings, property management, estate agency, customer service or administration would be an advantage, although full training can be provided for the right person.
A full UK driving licence would also be advantageous due to the need to travel between properties for viewings, inspections and other appointments.
