Job Overview
We are seeking an organised and reliable Accounts/Administration Assistant to join our small, busy Bookkeeping & Accounting practice on a part-time basis.
This is a varied role providing day-to-day administrative and bookkeeping support across the practice. You will help with general office administration, client records, compliance procedures, scanning and digital filing, social media and a variety of ad-hoc tasks that help keep the office running smoothly.
During busier periods, you will also work alongside our bookkeeping team, assisting with bank reconciliations, bookkeeping and reporting. For this reason, previous bookkeeping experience and confidence using accounting software is important.
We appreciate that this is a bit of an “all sorts” role, and that's exactly what we're looking for. We need someone who is organised, adaptable and happy to turn their hand to different tasks, helping take some of the day-to-day back-office pressure away from the wider team.
This is a part-time, office-based position of approximately 15–20 hours per week, with flexibility around the days worked to suit the right candidate.
Responsibilities
- Provide general administrative support to the bookkeeping and accounts team
- Maintain organised client records, documentation and digital files
- Assist with the firm's ongoing client compliance and Anti-Money Laundering (AML) administration
- Scan, upload, file and organise client paperwork
- Assist with general correspondence and other ad-hoc office tasks
- Help manage the firm's social media, including preparing and posting updates
- Provide bookkeeping support during busy periods
- Complete bank reconciliations and assist with maintaining accurate bookkeeping records
- Assist with producing bookkeeping reports and information for the accounts team
- Work alongside our bookkeepers to help manage workloads and keep client records up to date
- Handle client and financial information professionally and confidentially
- Assist with other tasks across the practice as required
Requirements
- Previous experience using Xero, QuickBooks or FreeAgent is essential
- Previous bookkeeping experience would be beneficial but is not essential
- Experience completing bank reconciliations and maintaining bookkeeping records
- Good computer skills and confidence using cloud-based systems
- Strong organisational skills with good attention to detail and accuracy
- Ability to manage a mixture of tasks and changing priorities
- Professional approach when dealing with confidential client and financial information
- Good communication skills
- Ability to work independently while also working closely with a small team
- Willingness to help with a variety of administrative and office-based tasks rather than focusing solely on bookkeeping
- Previous experience within a bookkeeping or accountancy practice would be beneficial but is not essential
This role would suit someone who enjoys variety and likes being the person who helps keep things organised behind the scenes.
We're a small team, so we're looking for someone who is happy to get involved where needed, whether that's helping with the bookkeeping workload, organising paperwork, preparing a social media post or taking care of one of the many smaller jobs that keep a busy practice running smoothly.
Training will be provided on our internal systems, procedures, compliance processes and bookkeeping tasks. However, applicants should already have previous experience using accounting software such as Xero, QuickBooks or FreeAgent and be confident navigating these systems.
Pay: From £12.71 per hour
Expected hours: 15.0 – 20.0 per week
