Responsibilities
- Manage incoming calls with professional phone etiquette, directing enquiries as appropriate
- Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of information
- Perform data entry tasks accurately using Microsoft Office and Google Workspace applications
- Support bookkeeping activities by assisting with invoicing and expense tracking using QuickBooks
- Prepare correspondence, reports, and presentations as required
- Schedule appointments, meetings, and coordinate calendars for team members
- Assist with general administrative duties such as photocopying, scanning, and ordering office supplies
- Maintain a tidy and organised work environment to promote efficiency
- Support other departments with ad hoc administrative tasks as needed
Qualifications
- Proven office experience or administrative background is preferred
- Strong computer literacy, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
- Experience with QuickBooks or similar accounting software is advantageous
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and accuracy for data entry purposes
- Demonstrable organisational skills with attention to detail
- Strong communication skills, both written and verbal, with professional phone etiquette
- Ability to work independently whilst also collaborating effectively within a team
- Previous clerical experience or familiarity with administrative procedures is desirable
