Overview
We are seeking a proactive and organized Office Administrator to join our dynamic team. This vital role ensures the smooth operation of daily office functions, supports our team with administrative tasks, and maintains an efficient work environment. Duties
- Manage front desk operations, including answering phones with professional etiquette and directing calls appropriately
- Handle incoming and outgoing correspondence, emails, and mail distribution
- Maintain accurate data entry records using Microsoft Office applications and Google Workspace tools
- Assist with scheduling appointments, meetings, and property viewings for staff and clients
- Support bookkeeping activities by managing invoices, insurances, receipts, and utilizing QuickBooks software
- Organize files, documents, and office supplies to ensure accessibility and orderliness
- Perform general clerical tasks such as photocopying, scanning, and maintaining office equipment
Requirements
- Proven office experience with strong administrative skills
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Drive)
- Experience with QuickBooks or similar accounting software is preferred
- Excellent phone etiquette and communication skills
- Strong organizational abilities with keen attention to detail
- Ability to type accurately and efficiently for data entry tasks
- Previous clerical or administrative experience in a professional setting is advantageous
