We're looking for two part-time Front of House Receptionists to be the first point of contact for everyone who walks through our doors, calls, or emails us. This is a people-first role. You'll set the tone for how tenants, landlords, contractors and visitors experience Umega, so a warm, professional manner matters more than anything else.
Alongside reception duties, you'll take ownership of our key management process and provide day-to-day support across office coordination. Both positions carry the same responsibilities, and you'll work closely with your colleague to keep things consistent day to day.
Hours and Pay:
Part time, office based. Two positions, each covering approximately 2.5-3 days per week (exact days to be confirmed with successful candidates).
Annual Salary of £25,000-£28,000 (full-time equivalent), depending on experience, pro-rata based on contracted days
What you'll do:
Front of house
- Be the first and last point of contact for visitors, tenants, contractors and colleagues, in person and by phone
- Manage the main office inbox and phone line, redirecting enquiries and keeping communication moving
- Keep reception and front-facing areas presentable and welcoming at all times
- Handle general enquiries from tenants and landlords with professionalism, and know when to escalate
Key management
- Own the key management process for the Umega portfolio: signing keys in and out to contractors, staff and tenants, adding new keys, ensuring keys have been collected for offboarding properties, etc.
- Maintain accurate, shared key records and conduct regular audits to ensure everything is accounted for
- Hand over any outstanding key movements clearly to your colleague
- Liaise directly with the team, tenants and contractors to coordinate access, collections and returns
Office and facilities support
- Support with office supplies, stationery, and general upkeep
- Help coordinate facilities matters such as cleaning contracts and printer/toner supplies
- Assist with fleet admin (MOTs, insurance renewals, cleans) as needed
- Provide general administrative support to the wider team as required
What we need from you:
- Experience in a receptionist, front of house, or customer-facing role (property or lettings experience is a plus but not essential)
- A genuine friendly, professional manner, in person, on the phone, and by email
- Strong attention to detail, particularly for key management and record-keeping
- Comfortable working closely with a colleague and keeping handovers clear and consistent
- Ability to stay calm and organised when juggling multiple requests
- A proactive attitude and willingness to pitch in beyond the core role
