The South East Reserve Forces’ and Cadets’ Association supports HM Forces' Cadets and Reserves in Berks, Bucks, Hants & the Isle of Wight, Kent, Oxon, Surrey and Sussex. SERFCA's employees are Crown Servants who contribute to meaningful national defense work by managing regional cadet and reserve estates and fostering local community ties. A vacancy currently exists in the General Office at the Aldershot headquarters for a full time Administrative Officer based at their Aldershot office.
The salary for this position is £27,866 per annum. In addition, the Association offers a generous pension scheme and a minimum of 25 days annual leave plus 9 bank and privilege holidays.
The main duties of the position include:
- Administration of the General Office and assistance to the Head of Support Services.
- Provision of admin support to Head of Engagement/Chief of Staff.
- Maintenance of essential documents, both manual and electronic, and day-to-day filing and archiving.
- Assisting with stage-management and connectivity for meetings at Seely House.
- Assisting with the management of all office equipment and supplies.
The ideal applicant will be a competent organiser, computer literate with a good working knowledge of MS Office and a excellent interpersonal skills. Ability and experience with office equipment is essential.

1. General Description.
The Administrative Officer is responsible to the Office Manager for the efficient running of the General Office and provision of admin support to the Head of
Engagement/Chief of Staff.
2. Detailed Responsibilities.
a. Provision of admin support to the Head of Engagement/Chief of Staff.
b. Assisting the Office Manager in ensuring all administrative procedures throughout the Association are adhered to, paying particular attention to the Association’s Policy and HR matters.
c. Responsible for the maintenance of membership details and amendment of the Associations’ Digest.
d. Responsible for gathering/maintaining recruitment statistics on Reserve Manning Strength across the Associations’ area.
e. Liaising and sharing responsibility with the Admin Officer for the Head of Cadets & Youth for maintaining Ready Reckoners detailing key information for each of the counties in the Associations’ area.
f. Assisting Office Manager in creation of Procurement Orders on Symphony.
g. Assisting Office Manager with Regional System Administrator duties, to include provision/setup of IT equipment and maintaining the Associations’ register of IT assets.
h. Provision of admin support to the Comms & Events team for the Lord Lieutenant Awards.
i. Responsible for the control of bookings and setting up of the Boardroom, organise refreshments and lunches as and when required.
j. Assisting in ensuring the Global Outlook contacts are maintained and accurate.
k. Preparation of briefs, reports and supporting papers for Association Board and County Committee meetings as required.
l. Assist the Office Manager with admin and stage management of committee meetings held in Seely House.
m. Receive general enquires via telephone & email and distribute to the relevant departments.
n. Deputise for the Office Manager in their absence.
o. Deputise for the second Admin, General Office as required.
p. Other administrative tasks as required commensurate with the appointment.
3. Special Requirements.
