About Alan Marshall Tutoring
Alan Marshall Tutoring is an online maths tutoring business based in Scotland, serving students from P7 through Advanced Higher. We deliver live group classes via Zoom and run a thriving community platform for students and families. Our teaching is built around the Marshall Maths Method, with a core philosophy that good tutoring makes itself obsolete.
We are a growing team of around 20 staff and are tracking toward a significant revenue milestone this year, with an expansion into the English GCSE market planned for September. As we scale, we need the right operational support to keep things running smoothly and to help us build the systems and processes that will sustain that growth long term.
The Role
This is a newly created position with two sides to it.
The first is an operational coordination function, working under our General Manager to take the day-to-day administrative load off his plate so he can stay focused on team leadership, performance, and systems development.
The second is a PA function to the founder, covering tasks that do not currently sit with anyone else and require someone proactive, organised, and commercially curious to own them properly.
Central to both sides of the role is Connecteam, the platform we use to manage scheduling, staff coordination, and operational processes. You will need to become an expert in this system. Training will be provided from the start, but the expectation is that you will get up to speed quickly and eventually become the go-to person for how we use and improve it.
The right person for this role is not just someone who processes tasks. We are looking for someone who is forward thinking, notices things that could work better, and is not afraid to bring ideas to the table once they have found their feet.
What You Will Be Doing:
Operational Coordination (reporting to General Manager)
- Becoming proficient in Connecteam and supporting the ongoing management and improvement of how we use it across the business
- Coordinating day-to-day class scheduling and logistics, building a thorough understanding of how our class timetable works across all levels and streams over time
- Supporting staff onboarding admin, including induction checklists, access setup, and ensuring new team members have what they need from day one
- Handling the legwork on recruitment: posting roles, sifting applications, scheduling interviews, and managing candidate communication so the General Manager can focus on making the right decisions
- Supporting student data and attendance administration
- Writing down how things work step by step, so that processes are documented and not just held in people's heads
- Identifying inefficiencies or gaps in existing processes and bringing practical suggestions for improvement
PA and Business Support (reporting to Founder)
- Managing and keeping up to date team documents including KPI frameworks, job descriptions, and onboarding materials
- Preparing agendas, documents, and supporting materials for review meetings, team sessions, and workshop days
- Tracking open actions across the business and following up on tasks that have no clear owner before they fall through the gaps
- Coordinating the practical side of webinars including Zoom setup, Calendly management, and pre-event communications
- Chasing outstanding actions from team members so the founder does not have to
- Carrying out light research tasks and preparing briefing documents as needed
- Proactive improvement research: looking at how the business currently operates and identifying areas where tools, processes, or platforms could work better, and bringing a considered view rather than just flagging a question
What We Are Looking For:
Essential
- A natural organiser who keeps things tidy, moving, and on track without needing to be prompted
- A quick learner who can get to grips with new systems and platforms independently
- Forward thinking: you think about how things could work better, not just how to get through today's task list
- Clear, confident written and verbal communication
- High attention to detail
- Comfortable working remotely and managing your own workload without close supervision
- Experience in an admin, operations, PA, or coordination role
- Confident with digital tools (we use Zoom, Google Workspace, Skool, Calendly, and Connecteam)
Desirable
- Prior experience with Connecteam or a similar workforce management platform
- Experience building or documenting processes from scratch
- Experience in an education, tutoring, or training environment
- An interest in how businesses operate and a track record of suggesting or implementing improvements
