Supporting expectant mothers to leave relationships where they are experiencing domestic abuse, so that they can protect their unborn babies. That’s our mission.
We are here to help mums-to-be to bring their children safely into the world, free from the trauma of abuse, and stay free forever, by providing person-centred practical, emotional and long-term support when they need it, how they need it. So that they can heal, transform their own lives, and protect and nurture their children.
Part of our charity's work is about raising awareness and educating people in relation to domestic abuse, as we believe that doing so is key to seeing a breakthrough in this area across our society.
The Role
Project Administrator
Salary £15 per hour
Contract Self-employed, 3 months, with the possibility of extension subject to funding and organisational need
Hours 12 hours per week (2 days per week)
Location Portsmouth area (officially office based but welcome to work hybrid/remote with regular local community based meetings and local travel)
Reports to Project Operations Manager
DBS requirement Enhanced DBS check required
Context
Free to Fly exists to break cycles of abuse for future generations, by raising awareness and educating people about abuse, and by specifically supporting expectant mothers in their journey into freedom from domestic abuse. The charity supports mums-to-be to leave abusive relationships and create safe, stable futures for themselves and their children through compassionate, person-centred practical and emotional support. We are a Christian-ethos charity rooted in partnership, community engagement, and deep respect for the dignity of survivors.
Purpose of the role
Free to Fly is in an exciting start-up phase, and we're looking for an organised, reliable and proactive administrator to support the Project Operations Manager in getting the charity's foundations firmly in place. This is a hands-on role at the heart of the launch: helping to build and maintain the systems, records and processes that will allow Free to Fly to operate safely, professionally and sustainably from day one.
This role is ideal for someone who enjoys bringing order to a fast-moving early-stage environment, who takes pride in accurate record-keeping and clear communication, and who wants to play a genuinely foundational part in a new charity's story.
Job Description
Key Responsibilities
Financial Administration
- Providing support to our fundraising manager to ensure they have accurate figures, information, documents etc to support fundraising
- Support with keeping records appropriately regarding all spending
Volunteer Co-ordination and Administration
- Supporting with aspects of volunteer recruitment, onboarding, co-ordination, communications and training to assist the Project Operations Manager and voluntary Volunteer Co-ordinators
- Act as a point of contact for volunteers with expense/admin queries
Safeguarding Administration
- Support with administration of DBS checks
- Ensuring safeguarding policy and procedures are followed at all times
- Support with administration linked to safeguarding activities where required
HR Administration
- Ensure the timely completion of Right to Work checks, DBS checks, and administration to assist with the onboarding of new staff members.
- Administrate and report on staff and volunteer training completion to assist the Project Operations Manager using our LMS, in ensuring training needs are met for all our team
- Support with the implementation of an HR Management System and utilise this where required
General administration
- Take on ad hoc administrative tasks as they arise during this fast-paced early period of the charity's operations.
- Support day-to-day correspondence on behalf of the Project Operations Manager, including monitoring shared inboxes and responding to routine enquiries.
Person SpecificationEssential
- Willing to provide an enhanced disclosure - given regular access to service user records and in contact with the public and beneficiaries via the office presence.
- Proven administrative experience, ideally including work in a charity, community, healthcare or public sector setting.
- Excellent organisational skills, with a methodical approach to record-keeping and attention to detail.
- Confident written and verbal communication.
- Self-motivated and comfortable working independently in a small, fast-moving start-up team.
- Confident user of Microsoft Office (particularly Word, Excel and Outlook) and comfortable learning new systems.
- Trustworthy and discreet when handling sensitive and confidential information.
- Understanding of safeguarding principles, or willingness to undertake training.
- Flexible and adaptable, with the ability to prioritise a varied workload.
Desirable
- Experience supporting a grassroots or early-stage charity through its early operational build.
- Familiarity with case management, learning management, or donor/CRM systems.
