About Stirling Timepieces
Stirling Timepieces is a fast-growing British watch company with strong roots in the military community. Alongside our core collection, our Special Projects Department works with military units, organisations and private clients to create bespoke and limited-edition timepieces.
We are looking for a highly organised and detail-focused Special Projects Coordinator to support the department as it continues to grow.
The Role
As Special Projects Coordinator, you will support the day-to-day delivery of bespoke watch projects from initial enquiry through to completion.
You will work closely with the Special Projects team, customers, designers, suppliers and our internal workshop to ensure every project is delivered accurately, professionally and on time.
This is a fast-paced role involving multiple projects at different stages, so you will need to be comfortable managing competing priorities while maintaining an exceptional level of attention to detail.
Key Responsibilities
- Supporting the coordination of bespoke and limited-edition watch projects.
- Managing project timelines, records and internal documentation.
- Communicating with customers and providing regular project updates.
- Gathering and checking design requirements, names, logos and other project details.
- Liaising with designers, suppliers and the production team.
- Preparing quotes, order information and project documentation.
- Ensuring all customer approvals are recorded before production begins.
- Monitoring deadlines and proactively following up on outstanding actions.
- Checking project information for accuracy before it is passed to production.
- Helping resolve problems quickly and professionally.
- Maintaining organised digital files, project trackers and customer records.
- Providing general administrative support to the Special Projects Department.

- A strong written communicator with good spelling and grammar.
- A dependable team member who is also comfortable working independently.
Previous experience in project coordination, administration, account management or order processing would be beneficial.
