Established in 1879, The Worcestershire Golf Club is the oldest club in Worcestershire and one of the oldest in England. The Golf Club currently has a full membership with a waiting list in operation
Role Overview
We are seeking an organised, reliable, and proactive Admin Manager to support the day-to-day financial and administrative operations of our Golf Club.
This role is central to ensuring the smooth running of the Club office, maintaining accurate financial records, supporting members and visitors, and assisting management with general administration.
The successful candidate will have bookkeeping experience, good attention to detail, and excellent organisational and communication skills.
Key Responsibilities
Bookkeeping & Finance
- Maintain accurate financial records using accounting software (Xero)
- Process purchase invoices, supplier payments, and staff expenses within agreed limits
- Raise sales invoices and chase outstanding payments
- Reconcile bank accounts and daily transactions across all departments
- Assist with payroll preparation and pension administration
- Manage petty cash with daily cash reconciliation
- Support preparation of monthly management accounts
- Liaise with external accountants where required
- Assist with budgeting and financial reporting
- Maintain the share register
Administration
- Provide administrative support to the Club Manager and Board including the accurate recording of minutes at monthly meetings
- Maintain membership records and database systems
- Handle telephone calls, emails, and general correspondence
- Assist with membership renewals and invoicing
- Lead the new member onboarding process in conjunction with the Club Manager and officers of the Club
- Prepare reports, spreadsheets, and meeting documents
- Maintain organised filing and office systems
- Support administration of club competitions and events where required
Customer Service
- Act as a professional first point of contact for members, guests, and visitors
- Respond to member enquiries in a courteous and efficient manner
- Help maintain a welcoming and professional Club environment in line with the Club’s service charter
Skills & Experience Required
Essential
- Previous bookkeeping and or accounts administration experience
- Good working knowledge of accounting software (Xero)
- Microsoft Office skills
- Excellent organisational and time-management skills
- High level of accuracy and attention to detail
- Strong communication and interpersonal skills
- Ability to work independently and prioritise workload effectively
Desirable
- Experience within a Golf Club, hospitality, or membership organisation
- Payroll experience
