Role Overview
The Dental Treatment Coordinator plays a key role in guiding patients through their treatment journey, from initial consultation to completion of care. This position is responsible for converting new patient enquiries into treatment starts, ensuring patients fully understand their options, and delivering an exceptional patient experience at every stage.
Key Responsibilities
- Conduct post-consultation discussions with new patients following their clinical assessment
- Present treatment plans and convert consultations into treatment starts
- Achieve and maintain a minimum conversion rate of 70%
- Accurately record, update, and track all patient interactions within the CRM system
- Support patients through finance applications and explain available payment options
- Ensure patients clearly understand their treatment journey, timelines, and next steps
- Comfortably and professionally discuss fees, costs, and financial arrangements
- Adapt communication style to meet individual patient needs
- Work collaboratively with the reception and clinical teams to ensure a seamless and efficient patient experience
- Follow up with patients who do not proceed with treatment on the day of consultation
- Act as the main point of contact for patients throughout their treatment journey
- Serve as the first point of contact for patient feedback or complaints, ensuring concerns are handled professionally and promptly
- Produce regular reports for management on conversion rates and performance metrics
- Identify opportunities to improve the patient journey and overall experience
- Ensure patients understand and sign consent forms and are aware of practice policies
Key Skills & Attributes
- 3+ years of dental receptionist or TCO experience
- Excellent communication and interpersonal skills
- Strong sales and negotiation ability with a patient-focused approach
- Confident discussing financial matters
- Highly organised with strong attention to detail
- Comfortable working with CRM systems and reporting tools
- Target-driven and results-oriented
- Empathetic, professional, and patient-centred
