Project Coordinator

The Role
We are seeking a highly organised and proactive Project Coordinator to support the delivery of IT network infrastructure projects.
Acting as a central coordination point between project managers, engineers, suppliers, customers, and internal teams, you will ensure projects are delivered efficiently by managing schedules, logistics, documentation, procurement activities and stakeholder communications.
This role is ideal for someone who thrives in a fast-paced technical environment and enjoys coordinating multiple workstreams simultaneously.
Key Responsibilities
Project Coordination
- Support Project Managers throughout the project lifecycle.
- Maintain project plans, trackers, action logs, risks, issues, and change records.
- Organise project meetings and distribute minutes and actions.
- Monitor project milestones, deadlines, and deliverables.
- Prepare project status reports and maintain accurate records.
Logistics & Resource Scheduling
- Coordinate ordering, delivery, staging, and tracking of project equipment.
- Liaise with suppliers to manage lead times and deliveries.
- Schedule engineers, contractors, and third-party resources.
- Arrange site visits, installation dates, and customer access requirements.
- Escalate risks relating to delays, resource availability, or logistics issues.
Procurement & Supplier Coordination
- Raise and track purchase orders.
- Monitor equipment procurement against project requirements.
- Maintain supplier relationships and support issue resolution.
- Verify delivered equipment against project orders.
Customer & Stakeholder Communication
- Provide regular project updates to customers and stakeholders.
- Coordinate meetings, reviews, and project communications.
- Support customer onboarding, project initiation, and service transition activities.
Documentation & Project Closure
- Maintain project documentation including plans, risk logs, site surveys, method statements, and handover packs.
- Ensure documentation complies with internal quality standards.
- Support project close-out activities, customer sign-off, lessons learned, and final record updates.
Skills & Experience
Essential
- Experience in a Project Coordinator, Project Administrator, PMO, Logistics Coordinator, or Operations Coordinator role.
- Strong organisational, planning, and time management skills.
- Experience managing multiple priorities and deadlines.
- Excellent communication and stakeholder management skills.
- Proficiency in Microsoft 365, particularly Excel, Word, Outlook, and Teams.
- Experience maintaining project documentation and producing reports.
- Strong attention to detail and problem-solving ability.
Desirable
- Experience within IT, networking, telecommunications, infrastructure, or technology environments.
- Understanding of network infrastructure projects, including LAN, WAN, Wi-Fi, cabling, or cloud connectivity.
- Familiarity with PRINCE2, Agile, or other project management methodologies.
- Experience with tools such as Microsoft Project, Monday.com, Jira, or ClickUp.
- Knowledge of procurement, logistics, and supplier management processes.

The Ideal Candidate
You are an organised and customer-focused coordinator who enjoys keeping projects on track and managing multiple moving parts. You are comfortable working with engineers, suppliers, customers, and project managers and can proactively resolve issues while maintaining attention to detail.
Additional Requirements
Due to the nature of our clients, successful applicants must be able to pass a BPSS background check and hold a full UK driving licence.
