Role
We are seeking an experienced and highly organised Events Manager to join our London team.
The successful candidate will manage the planning and delivery of a wide range of pharmaceutical meetings, congresses and events for clients across AXON's Practice Groups, with a primary focus on our Medical Practice. From initial planning through to on-site delivery and post-event reconciliation, you will ensure every event is delivered seamlessly, compliantly and to the highest possible standard.
As the lead contact for event logistics, you will work closely with clients, suppliers and internal account teams to create exceptional experiences while maintaining strong client relationships. This role requires someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and has a passion for delivering outstanding events within the highly regulated pharmaceutical industry.

Key Responsibilities
Accountability
- Manage the end-to-end delivery of UK and international pharmaceutical meetings, congresses and events
- Develop event timelines, project plans and budgets to ensure successful delivery
- Source venues, negotiate with suppliers and coordinate third-party vendors
- Manage speaker logistics, travel arrangements, accommodation and delegate management
- Develop and manage HCP contracts and supporting event documentation
- Ensure all event deliverables are completed on time, within budget and to the highest quality standards
- Compile post-event reconciliation, financial reporting and audit documentation
- Champion compliance throughout every stage of event planning and delivery, ensuring adherence to pharmaceutical industry codes including ABPI, EFPIA and other relevant regulations
Client Services
- Act as the primary point of contact for clients on all event logistics and operational delivery
- Build strong, long-lasting relationships with clients through exceptional service and communication
- Understand client objectives and provide strategic event solutions to meet their goals
- Work collaboratively with wider client account teams to ensure integrated project delivery
- Manage client expectations throughout the event lifecycle and proactively resolve challenges
- Negotiate effectively with venues, suppliers and external partners to deliver value and quality
Project Management
- Manage multiple events simultaneously across a diverse client portfolio
- Maintain accurate project timelines, budgets and financial tracking
- Oversee registration platforms, including Cvent, ensuring an exceptional delegate experience
- Coordinate internal and external stakeholders to ensure seamless event execution
- Support business development activities through proposals and identifying opportunities for account growth
- Ensure all projects comply with AXON quality standards and pharmaceutical compliance requirements
Candidate must have:
- Minimum of 2 years' experience managing pharmaceutical meetings, congresses or events
- Experience delivering UK and international events from planning through to on-site execution
- Strong project management and organisational skills
- Experience managing event budgets and financial reconciliation
- Knowledge of pharmaceutical compliance requirements, including audit close-out processes
- Experience using event registration platforms such as Cvent
- Excellent client relationship management and communication skills
- Strong negotiation skills with venues, suppliers and external stakeholders
- High attention to detail with the ability to manage multiple competing priorities
- Ability to work both independently and collaboratively within a fast-paced agency environment
- Flexibility to travel internationally and provide on-site event support when required
