About the role
We are currently hiring a Market Supply Executive, on maternity cover basis, to be responsible for accurately keying and maintaining customer orders in our systems, supporting the smooth execution of the fulfilment and dispatch process. The role performs essential administrative tasks including order entry, data accuracy checks, documentation preparation, carrier bookings and support for routine customer and market queries.
This is a core administrative role providing the foundation of the order-to-dispatch workflow.
What you will do
Order Entry & Data Accuracy

Accurately maintain customer orders.

Arrange and manage shipment bookings with assigned freight carriers.

Check orders for correct product codes, quantities, delivery details, pricing, and customer requirements.

Amend orders as instructed by Market Supply Lead or Market Companies and highlight system errors, discrepancies or missing information early for correction.
Documentation
- Prepare routine fulfilment documents and ensure shipment and order documentation is complete, accurate and filed correctly.

Upload and maintain documentation in relevant systems or shared folders.

Follow documentation standards aligned to HMRC/excise and bonded warehouse requirements.

Collate registration documentation for new products and or annual verification.
Workflow Progression & Coordination

Ensure orders progress through the system by completing required checks and updates.

Liaise with:

Market Supply Leads for clarifications or required changes
-
Despatch Planning for confirmation of uplift dates

Warehousing for pick readiness updates

Logistics for dispatch confirmation
-
Production Planning to monitor and track versus request date.

Keep systems updated with key order milestones (e.g., confirmed dispatch date, documentation readiness).
Customer & Market Support (within defined limits)

Respond to customer or market queries.

Escalate all non-routine or complex queries to the Market Supply Lead.

Support preparation of standard outbound communications during delays or planned service changes.
Compliance & Controls

Follow all SOPs and internal controls related to order processing, documentation, HMRC/excise and bonded warehouse rules.

Ensure accurate record-keeping to support audit requirements and maintain strong discipline in data accuracy, document version control and filing.

Process and publish daily data reports to support order acceptance and compliance checks.
Continuous Improvement & Team Support

Suggest simple improvements to administrative processes or order entry accuracy.

Participate in testing of small system or process changes.

Support upkeep of team SOPs, process guides and shared tools.

Provide general administrative support to the Customer Ops team when needed.
Your skills and background
-
Experience in an administrative, customer service or data-processing role within a structured environment.
-
High attention to detail and accuracy when handling data, documentation and system inputs.

Confident user of computer systems with good MS Office capability.

Strong organisational skills with the ability to manage assigned workflows and meet agreed deadlines.

Clear and professional communication skills, with the ability to follow defined processes and instructions.
