Instinctive are a specialist medical laser company seeking a service department administrator to join our small and friendly team. Specialising in Ophthalmic and Aesthetic laser technology, we are looking for a confident & professional service administrator to assist us in our day-to-day office functions.
Based out of our new office facility in Marston Mortaine, the service administrator will support our service team in the servicing and repair of customer equipment. The role will involve liaising with customers to schedule routine preventative maintenance visits & assisting with the day-to-day running and organising of the service office.
The right candidate will be a confident, friendly communicator with a keen can-do attitude. The role will suit someone looking for an interesting and diverse role, in a small & friendly team. This may be a recent graduate, an ambitious school leaver or someone that may have recently taken a short career break.
The role of a Service Administrator is crucial in supporting the operations of our partners. This position ensures the seamless functioning of services and the maintenance of high standards expected by customers. Below is a detailed look at the responsibilities and day-to-day duties associated with this role.
The main responsibilities will include:
- Answering incoming calls professionally and directing them within the team accordingly.
- Contacting existing customers to schedule routine preventative maintenance service visits.
- Maintaining accurate and up-to-date records, both physical and digital.
- General administration including printing and filing of engineer job sheets and processing maintenance agreement contracts.
- Assisting engineers with hotel bookings & other travel arrangements.
- Monitor and update internal service logs as needed.
Required:
- Must have your own transport due to office location (Marston Mortaine).
- A reasonable knowledge of Microsoft Office (Word, Outlook and a basic knowledge of Excel).
- An excellent telephone manner.
- A keen can-do customer focused attitude.
- Confident communicator.
Desirable:
- Previous experience in a manufacturer service department is advantageous.
- Have strong organisational skills to manage and prioritise workload though different stages of resolution with the customer, service office and engineering team.
Working Schedule:
- Monday - Friday 9.00am - 5.30pm.
