ESTATES COORDINATOR

ROLE OVERVIEW
You will play a key role in keeping our developments running smoothly, acting as the central hub between residents, contractors and property managers. With a calm, professional approach, you will coordinate repairs and maintenance, manage information and documentation, and make sure communication is clear, timely and helpful.
Working alongside experienced property managers, you will bring structure and pace to day-to-day operations. Your diligence, eye for detail and people-first mindset will help deliver reliable service and a great experience for our customers and partners.
ROLE EXPECTATIONS
Most days you will manage a busy inbox and phone line, triaging enquiries, logging jobs and updating stakeholders. You will raise work orders, schedule contractors, chase progress, and keep records accurate and compliant in our systems. You will support meetings, reports and site visit logistics, ensuring nothing falls through the cracks.

- Residents and clients receive timely, clear updates and feel well looked after.
- Work orders are raised accurately, progressed proactively and completed on time.
- Compliance documents, permits and records are complete, current and easy to find.
- Contractor performance is monitored, with quotes compared and value achieved.
- Data in our systems is accurate, enabling confident reporting and decisions.
- Colleagues trust you as the go-to coordinator who keeps actions moving.
HOW YOU'LL SPEND MOST OF YOUR TIME
- Managing emails and calls, logging enquiries and allocating actions.
- Raising, tracking and closing work orders, POs and invoices in line with process.
- Coordinating contractors: obtaining quotes, scheduling visits and arranging access.
- Maintaining H&S and compliance documentation, permits and insurance records.
- Preparing communications, notices, packs and updates for residents and stakeholders.
- Organising diaries and logistics for site inspections, meetings and follow-up actions.

EXPERIENCE THAT HELPS
- Coordination or administrative experience in property, block management, lettings or facilities.
- Scheduling and liaising with contractors or suppliers, including access and permits.
- High-volume customer service with case management and SLA tracking.
- Using CRM or property management systems and confidently handling spreadsheets.
- Basic understanding of building maintenance, compliance and H&S documentation.
