About Gafbros Ltd
Gafbros Ltd is a family-run packaging business based in Leicester with over 45 years of experience in the industry.
We supply both bespoke printed packaging and food-service packaging, including luxury paper carrier bags, rigid boxes, printed packaging, takeaway packaging and disposable food packaging.
As the business continues to grow, we are looking to strengthen our office team with an experienced Office Administrator who can support our sales, purchasing, order management and logistics operations.
The Role
This is a varied, hands-on office-based position covering sales administration, order coordination and logistics.
You will help manage customer orders from quotation and production through to dispatch and final delivery, working closely with customers, suppliers, factories, freight companies and our internal team.
A key part of the role will be keeping track of live orders and proactively ensuring everyone involved knows exactly where an order is and when it is expected to arrive.
Our suppliers and manufacturers are based both in the UK and overseas, so you should be confident communicating with different suppliers, transport companies and freight agents.
There is no cold calling involved in this position.
This is a shared role within an established office team, and responsibilities may be allocated according to individual strengths and experience.
Key Responsibilities
- Respond to customer enquiries and quotation requests by telephone and email
- Prepare and process quotations, orders and purchase orders
- Accurately enter product specifications, quantities, pricing and delivery information
- Liaise with UK and overseas suppliers regarding production and order progress
- Track orders from production through to dispatch, freight and final customer delivery
- Liaise with couriers, hauliers, freight forwarders and transport companies
- Obtain and monitor ETAs and delivery schedules
- Keep customers updated regarding production progress, dispatch dates and expected delivery
- Follow up on delayed or outstanding shipments and help resolve delivery issues
- Maintain internal order trackers and ensure information is kept up to date
- Check supplier order confirmations against our purchase orders
- Check and process purchase invoices where required
- Assist with purchasing, supplier enquiries and obtaining prices
- Support the sales and production team with job sheets, artwork proofs and order documentation
- Maintain accurate electronic records and documentation
- Help improve internal administrative and order-tracking procedures
What We Are Looking For
Essential:
- Previous experience in office administration, sales administration, order processing, logistics coordination or a similar role
- Ideally at least 2–3 years' relevant office experience
- Strong Microsoft Excel, Word and general computer skills
- Excellent attention to detail
- Strong organisational and time-management skills
- Confident telephone and email communication
- Ability to manage several live orders and priorities at the same time
- Comfortable communicating with suppliers, customers and transport companies
- A proactive approach — someone who follows an order through rather than waiting to be asked for an update
Desirable:
- Experience within packaging, printing, manufacturing, wholesale, distribution or import/export
- Experience dealing with overseas suppliers
- Experience coordinating freight, transport or deliveries
- Experience with purchasing, quoting or production administration
- Knowledge of bespoke printed packaging, paper bags, boxes or disposable food packaging
Previous packaging experience would be an advantage, but is not essential for the right candidate with strong order-management, logistics or sales-administration experience.
The Person
We are looking for someone who is organised, reliable and comfortable taking ownership of their work.
You should be the type of person who notices when an order has not been updated, follows it up with the supplier or transporter, obtains the latest information and makes sure the customer and internal team are kept informed.
