Sales Operations Executive (Document Team)

As a Sales Operations Executive within our Document Team, you'll play a key role in managing customer orders from sign-off through to delivery authorisation. You'll be responsible for checking and processing documentation, managing finance agreements, and ensuring all records are accurately updated while keeping orders moving efficiently through the system.
Working closely with customers, dealers, funders, and internal teams, you'll help ensure a smooth, compliant, and consistent process at every stage.
What You'll Be Doing
- Managing customer orders from sign-off through to delivery authorisation
- Checking customer proofs and validating documentation against order requirements
- Sending, receiving, and authorising finance agreements in line with funder processes
- Updating CRM systems to reflect accurate order stages and progress
- Obtaining VIN and registration details for finance agreement creation
- Reviewing manual agreements and resolving document discrepancies
- Sending completed agreements to funders and ensuring timely returns
- Managing and resolving document rejections and business exceptions
- Providing proof of funding to dealers and supporting order progression
- Assisting customers with signing queries, rejections, and document support
- Obtaining credit extension approvals and supporting deadline management
- Processing IR payment confirmations in line with funder requirements
- Managing portals including LeaseLink and Fleet Procure
- Handling inboxes, prioritising urgent cases such as credit and quote expiries
- Completing daily messages and customer welcome calls
- Maintaining dashboards and internal/external reporting
- Liaising with internal teams and funders to resolve issues quickly and efficiently
- Ensuring all processes are completed in line with FCA and company compliance standards
What We're Looking For
- Previous experience in administration, operations, customer service, or sales support
- Experience working in a fast-paced, deadline-driven environment
- Strong attention to detail and high level of accuracy
- Excellent communication skills, both written and verbal
- Strong organisational and time management skills
- Confidence using CRM systems
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- A proactive and customer-focused approach
- Ability to work under pressure and manage multiple priorities
- Strong problem-solving skills and adaptability
- A team player with a professional attitude
Desirable Experience
- Experience within vehicle leasing, automotive, finance, or operational processing environments
- Understanding of finance agreements and document approval processes
- Experience working with funders, dealers, or online portals
