Primary Purpose
Provide a friendly and professional welcome to those using the Wellbeing Centre. Provide high-level administration support to the Wellbeing Centre staff.
The ideal candidate will be competent in prioritising and working with little supervision.
They will be self-motivated and trustworthy
Principal Objectives
- Staff the Wellbeing Centre reception desk, providing a warm, professional welcome to students, parents, staff and visitors, and ensuring compliance with safeguarding, sign-in and fire safety procedures.
- Monitor and oversee the use of Wellbeing Centre spaces, including remote supervision where required, to maintain a safe, calm and supportive environment.
- Undertake a wide range of administrative tasks, including scanning, photocopying, filing and maintaining accurate, confidential records.
- Coordinate appointments for students with parents, staff, and internal and external services, providing administrative support to wellbeing staff, including minuting meetings where required.
- Liaise with the central bookings function to reserve and manage Wellbeing Centre spaces for internal and external use.
- Work closely with Student Services to support registration and attendance monitoring for students accessing the Wellbeing Centre.
- Maintain accurate records of wellbeing concerns, including bullying and Child-on-Child incidents, ensuring timely reporting in line with school safeguarding policies.
- Provide first aid support in collaboration with the School Nurse, within the scope of training and certification.
- Administer student medical and care plans, including asthma, EpiPen and Personal Emergency Evacuation Plans (PEEPs), ensuring records are current, compliant and appropriately shared.
- Log and maintain accident records and review medical flags at the start of each term, ensuring accuracy and confidentiality.
- Carry out checks and monitoring related to care plans and student wellbeing, escalating concerns in line with school procedures.
- Produce regular and ad-hoc reports for senior leaders, including a termly Wellbeing Centre report.
- Manage administrative processes related to therapeutic and clinical services, including physiotherapy and counselling-style provision.
- Manage documentation and consent processes, ensuring records are completed securely and in a timely manner.
- Maintain the Wellbeing Centre environment, including managing supplies and refreshments and keeping information displays current and accessible.
- Support the preparation and publication of newsletters, digital resources and Parent–School communications related to wellbeing.
- Support the administration of the School’s co-curricular and sports programme.
- Support the Sixth Form team with UCAS and administrative duties
- Act as Fire Officer for the Wellbeing Centre, including completing weekly fire checks and ensuring compliance with fire safety procedures.
