Omni are recruiting on behalf of PropCare for a proactive and highly organised Team Administrator. This is a fantastic opportunity to play a key role in keeping vital services running smoothly, ensuring colleagues and stakeholders receive seamless, professional support every day.
What you’ll be doing
As a central part of the team, you’ll provide high-quality administrative and coordination support across multiple sites. Your work will directly contribute to efficient service delivery and a positive experience for staff, partners, and visitors.
Your key responsibilities will include:
Administration & Coordination
· Managing shared inboxes and responding to enquiries
· Organising meetings, diaries, and appointments
· Preparing agendas, taking minutes, and tracking actions
· Maintaining accurate digital filing systems and correspondence
Communication & Stakeholder Support
· Acting as the first point of contact for visitors, contractors, and enquiries
· Handling calls and emails professionally and efficiently
· Building strong working relationships across teams
Systems & Records
· Managing ID badges, access records, and car parking permits
· Maintaining logs and producing reports (Excel / MS Teams)
Financial Administration
· Raising and tracking purchase orders (Oracle system)
· Processing and reconciling invoices
· Managing queries and liaising with Finance
Operational Support
· Supporting inbox management for Estates and PropCare
· Providing flexible support across the team during busy periods
What we’re looking for

You’ll bring:
Strong admin experience in a busy, customer-focused role
Excellent organisational skills with the ability to prioritise
Great communication skills and a professional approach
High attention to detail and accuracy
Confidence using Microsoft Office (Outlook, Excel, Teams etc.)
A proactive, adaptable and team-focused mindset
Bonus if you have experience with procurement or finance processes.
