Role Overview
As a Business Administrator/ Receptionist, your responsibility will be wide and varied, but essentially will support the business to achieve its targets.
The role is located in the reception area and as such you will ensure all telephone callers and visitors to the Company are received in a professional manner, applying best practice to guarantee the smooth operation and a professional environment for our visitors at all times.
Key Responsibilities
Duties will include but not be limited to:
- Meet and greet all onsite visitors,
- Issue security passes as required
- Answer incoming calls during operating hours (this operates on a rota basis with the rest of the business)
- Take responsibility for the co-ordination, organisation and (where necessary) presentation of internal communications, such as Town Hall (whole workforce briefings) meetings; TV Screen presentations and any similar communication requirements as and when they arise.
- Support the HR team with employee engagement events
- Support the HR team with business wide projects
- Support with communication for the wider business
- Booking of travel arrangements for Thompson Valves visitors, including flights, visas, letters of invitation; hotels, taxis, hire cars and pool car.
- Manage the Thompson Valves Pool Cars
- Supporting HSE team with Company Driver Assessment; co-ordination and record keeping of Company Driver documentation, ensuring that all company personnel who drive on Company business have provided the right documentation to do so.
- Maintain a sufficient stock of the visitors/contractors SHEF guides and ensure they are always on display in the visitor reception area
- Ordering catering requirements for on-site meetings/training
- Ensure the conference/meeting rooms are ready for use each day, including replenishment of refreshment products
- The distribution of and responsibility for all external mail;
- Perform other such duties commensurate with the nature and level of the post as may be reasonably required.
Critical Competencies for Success
- Understands the importance of the first point of contact for the Company in order to deal effectively with all callers to the business; either by telephone or in person.
- Due to the amount of personal and telephone contact this role will have with our customers, it is essential that the job holder is fluent in English
- Strong PC skills are essential, with particular knowledge of Microsoft Office – Outlook, Word, Excel and PowerPoint
- The job holder must demonstrate the ability to use their initiative, set priorities and work without supervision.
- Able to demonstrate a desire to progress and succeed, be able to work as part of a team and work independently.
