Successful candidate will provide efficient, effective, and comprehensive administrative support for ICU.
If you have excellent interpersonal skills, good communicator and have a strong desire to provide an efficient, effective and comprehensive administrative support for the department of surgery then this is the post for you.
Duties will include updating patient management systems, answering calls and greeting patients/relatives, preparing notes and supporting the nursing team with all aspects of ward administration such as record keeping, data entry, filing and scanning.
You will need to be able to communicate effectively with all staff members and patients and have a high level of attention to detail.
Walsall Healthcare NHS Trust is an integrated Trust and the only provider of NHS acute care in Walsall, serving a population of 284,300. It provides inpatient and outpatient services at the Manor Hospital as well as a wide range of services in the community. Walsall Manor houses the full range of district general hospital services under one roof. The £170 million development was completed in 2010, and ongoing upgrades ensure the Trust now has state-of-the-art facilities, including a Critical Care Unit, Neonatal Unit, Obstetric Theatre, and Integrated Assessment Unit. A new Urgent and Emergency Care Centre, opened in March 2023, has significantly improved emergency care facilities and capacity, providing almost 5,000 square metres of additional clinical space.
Data Inputting and Reporting
1. On a daily basis, collect and collate patient audit information being collected within the Critical Care Units by nursing and medical staff
2. On a daily basis, input data accurately into computer
3. Arrange for the availability of patient notes and other records and information as requested by medical staff and others to assist in the completion of audit records
4. Inform the data co-ordinator or Critical Care Manager/deputy of information which is not being collected, is missing or incomplete (eg Missing forms, forms not completed daily) and work with these individuals and others to improve data quality collection systems.
5. As required by the co-ordinator, liaise with relevant internal and external individuals and bodies involved in the collection and collation of data and respond to their requirements, after discussion with the Critical Care Manager if necessary
6. Respond to other requests for information as requested by the unit manager and others
7. Assist in the production of reports at agreed intervals as required by data coordinator, unit manager, senior medical staff and others.
8. Store, file or safely dispose of data forms after input as advised by data coordinator.
Clerical and Administrative Support to Units
9. Provide basic clerical and administrative support, for example by,
- Answering telephones, taking messages and responding to enquiries
- Obtaining results
- Maintaining and filing patient records and reports
- Make arrangements for appointments and meetings
- Ensuring that stationary and other supplies are ordered and stick levels maintained Providing other clerical support as required
10. Ensure that medical records and other relevant information are obtained and prepared for use by medical staff
11. Ensure that admission information is collected and recorded accurately.
12. Liaise with all other departments in the Trust to ensure the smooth running of the units and the best possible service to the patients, resolving problems when possible and informing the unit manager or deputies of results and difficulties
Ward Clerk Duties
- To provide a high-quality reception service , meet and greet patients demonstrating optimal customer service skills , addressing patients queries and providing information within your remit or seeking advice and guidance as necessary
- To manage incoming calls and receiving information via other sources from patients, relatives and other members of the trust team, managing, documenting and communicating appropriately to support in the management of the department and patient pathways
- Always demonstrate a professional etiquette
- Handling, maintaining and tracking files and / or patient records accurately, confidentially and sensitively according to approved organisation and governance standards
- Receiving hard copy and electronic referrals , inputting data to patient information systems accurately and timely in accordance with procedures
- Liaise with other members of the clinical and operational team regarding patient queries or scheduling issues
- Prepare patient records and information in advance, ensuring all medical notes are available and tracked in and out of the department
- Admit and discharge patients in an effective and timely manner
- Planning, organising and prioritising own workload whilst accepting direction and delegation from the Administration Team Leader, Care Group Support and Care Group Managers
- Providing and receiving routine information as assigned to support colleagues, clinicians, patients and
- other departments and clients
- Requesting necessary items, information or services from other departments
- Maintaining confidentiality and adhering to all organisational policies relating to the job
- Discussing with the Administration Team Leader any suggestions for service improvement based on experiences within the different specialties.
