We are looking for an organised, accurate and proactive Laboratory Administrator to join our friendly laboratory team at Bristol Centre for Reproductive Medicine (BCRM).
This is an administrative role based within our busy fertility laboratory, providing essential day-to-day administrative support to the embryology team and helping ensure that patient information, results, records and communications are managed accurately and efficiently.
While you will work closely with our laboratory and clinical teams and have some contact with patients, this is not a laboratory training or embryology role. We are particularly keen to hear from candidates who enjoy administration, take pride in accuracy and organisation, and are looking to build their career within a high-quality administrative support role.
The role
As our Laboratory Administrator, your responsibilities will include:
- Managing the laboratory inbox and responding to or directing queries appropriately.
- Typing, preparing and sending patient results and other laboratory correspondence accurately and promptly.
- Entering, checking and maintaining accurate information across electronic databases, patient records and document management systems.
- Supporting the laboratory team with day-to-day administrative tasks, document preparation, filing and record keeping.
- Coordinating information between the laboratory, wider clinical teams and patients to support an efficient patient journey.
- Handling telephone and email enquiries professionally, sensitively and confidentially.
- Supporting appointment and administrative processes where required.
- Working across multiple systems and ensuring information is accurately integrated and updated.
- Prioritising a varied workload, meeting deadlines and completing tasks fully in a busy environment with frequent interruptions.
- Working in accordance with BCRM procedures and the requirements of our regulated clinical environment, including HFEA and quality standards relevant to the role.
- Contributing positively to the wider laboratory and multidisciplinary team.
About you
You will be someone who genuinely enjoys administration and takes pride in providing an accurate, organised and reliable support service. You will be comfortable managing detailed information, working across different systems and balancing competing priorities in a busy environment.
To be considered for this role, you will need:
- Previous administrative experience, ideally within a busy office, healthcare or similarly regulated environment.
- Excellent attention to detail and a consistently high level of accuracy in data entry and record keeping.
- Strong organisational skills and the ability to prioritise and manage a varied workload.
- Confidence using Microsoft Office, including Outlook, Word and Excel, and the ability to learn new systems quickly.
- Experience of working with databases, electronic records or document management systems.
- Excellent written and verbal communication skills, including a confident and professional telephone manner.
- The ability to handle sensitive and confidential information appropriately.
- A calm, flexible and positive approach when working under pressure and responding to changing priorities.
- Strong interpersonal skills and the ability to work effectively as part of a multidisciplinary team.
- A caring and empathetic approach when communicating with patients who may be anxious or experiencing a difficult time.
- Education to NVQ Level 3, A-level or equivalent, or equivalent relevant experience.
Previous experience in a healthcare setting or providing patient support and appointment administration would be advantageous, but is not essential.
Previous fertility or laboratory experience is not required. Full training will be provided on the systems, terminology and processes needed to carry out the administrative responsibilities of the role.

Working with us
This is a permanent position, available up to full time, with part-time or flexible working hours considered. The role is predominantly office based within the laboratory team, with some patient-facing contact. Flexibility may be required to meet the needs of the service.
Salary: £25,000–£26,000 per annum, depending on experience
