Job Summary
We are seeking a proactive and organized Executive Assistant to support our Managing Director. This vital role involves managing schedules, coordinating communications, handling administrative tasks, and ensuring smooth daily operations. The ideal candidate will bring strong organizational skills, attention to detail, and a positive attitude to help drive our mission forward.
Responsibilities
- Manage the Managing Director’s calendar, appointments, and travel arrangements efficiently.
- Prepare, review, and organise correspondence, reports, and presentations using Microsoft Office and Google Workspace.
- Handle incoming calls with professionalism, practising excellent phone etiquette while directing enquiries appropriately.
- Assist with data entry tasks, maintaining accurate records and filing systems.
- Coordinate meetings, prepare agendas, take minutes, and follow up on action items.
- Support various administrative projects by managing documentation and tracking deadlines.
- Maintain confidentiality of sensitive information while providing exceptional office support.
- Supporting MD in execution of many projects
Requirements
- Proven administrative experience with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools.
- Experience with QuickBooks or similar accounting software is a plus.
- Excellent typing speed and data entry accuracy.
- Strong clerical skills including filing, document management, and office procedures.
- Knowledge of phone etiquette and professional communication standards.
- Demonstrated ability to multitask effectively in a fast-paced environment.
