THE ROLE (IN PLAIN ENGLISH)
I’m Gavin and I run the business and the workshop. We’re busy and we’re growing, and I’m looking for a proper assistant to help me with the day-to-day admin and organisation that keeps everything moving.
This is for someone who’s super organised, likes problem solving, and isn’t afraid to chase things until they’re done. You’ll also help keep me on track day-to-day - reminders, follow-ups, diary, and making sure the important stuff doesn’t get buried.
We’ve got the work…We’ve got the workshop…We just need you.
WHAT YOU’LL BE DOING (THE REAL LIST)
- Purchasing & parts: ordering parts/materials, keeping records, making sure nothing gets missed
- Chasing quotes + pricing: getting prices, lead times, alternatives, and following up properly
- Supplier comms: phone + email, daily - getting answers, not “waiting for a reply”
- Workshop admin: keeping job info updated, helping track progress, keeping paperwork/systems tidy and accurate
- Workshop performance updates: simple reporting back to me - what’s on track, what’s stuck, what needs a decision
- Diary management: booking meetings, keeping the calendar sensible, reminders, follow-ups
- Email management: triage, organise, draft replies where appropriate, flag what needs my input
- Keeping me organised: a polite nudge when needed, making sure actions get closed out, and stopping things slipping
- Other tasks may be allocated inline with growing the business
THE PERFECT PERSON FOR THIS ROLE WILL PROBABLY…
- Be super organised and naturally proactive
- Enjoy solving problems and unblocking things
- Be confident chasing suppliers (politely but firmly)
- Be practical, calm, and able to juggle a busy day
- Be good with email/spreadsheets/systems (we’ll show you what we use)
- Take pride in being reliable and on it
BONUS POINTS IF YOU’VE WORKED IN…
Engineering, fabrication, manufacturing, construction, automotive, plant, parts, service admin - anywhere parts, deadlines and suppliers are a daily thing.
WHAT YOUR TYPICAL DAY MIGHT LOOK LIKE
8:00am: Quick check of what the workshop needs today + any urgent parts issues
8:30am: Quotes, orders, supplier chases, lead times confirmed (phone + email)
9:30am: Update job/admin info so everyone’s working off the same facts
10:30am: Quick update to Gavin: what’s ordered, what’s late, what’s holding anything up
11:00am: Diary + email management (triage, book, remind, follow up)
12:30pm: Lunch
1:00pm: More purchasing + sorting problems as they pop up
2:30pm: Workshop check-in: what’s missing, what’s changed, what’s next
3:30pm: Tie off loose ends, chase anything outstanding, prep tomorrow
4:30pm: Final supplier chases + end-of-day summary so nothing gets forgotten(Every day will be different. That’s normal here.)
THE FORMAL STUFF
Location: On-site, Brixworth
Hours: 8am to 6pm
Start: ASAP
Salary: £35,000 per year plus company mobile phone.
Job Types: Full-time, Permanent
Pay: Up to £35,000.00 per year
