About Us
We are an entrepreneurial property investment, development and construction business involved in the acquisition, funding, design, development, construction and sale of major real estate projects across the UK.
Our London office brings together a multidisciplinary team spanning investment and capital, development management, design, construction and sales.
We are a fast-moving and ambitious business with a strong focus on ownership, quality and execution. We embrace AI, technology and new ways of working and expect everyone in the business, regardless of role or seniority, to look for ways to work smarter and improve how we operate.
As our London team grows, we are looking for an exceptional Office & Operations Executive to help keep the team organised, connected and operating effectively.
The Role
This is a broad role for a highly organised, switched-on and proactive individual who wants to build their career within a growing entrepreneurial business.
You will work across the entire London office, supporting senior leadership and teams across investment, development, design, construction and sales.
The role will include traditional organisational responsibilities such as diary management, meetings, travel and administration, but we are looking for considerably more than someone who simply responds to requests.
We want someone who anticipates what is needed, keeps on top of the detail, takes ownership and finds ways to make the entire office work better.
You might spend the morning coordinating meetings across a complex project team, prepare and format a presentation for an important investor meeting in the afternoon, reorganise a project document structure in OneDrive, and then troubleshoot the meeting room technology before an international Teams call.
If something needs doing, your instinct should be to work out how to get it done.
Key Responsibilities
Team & Executive Support
- Coordinate calendars and meetings across senior leadership and departmental teams.
- Organise internal and external meetings involving consultants, investors, lenders, contractors and other stakeholders.
- Coordinate travel, accommodation, itineraries and logistics where required.
- Prepare meeting agendas, packs, briefing materials and presentations.
- Capture and distribute meeting actions and proactively follow up outstanding items.
- Help senior team members stay ahead of important deadlines, meetings and commitments.
- Provide general administrative support across the business where required.
Presentations, Documents & Information
- Prepare and format high-quality PowerPoint presentations, reports and other business documents.
- Assist teams in turning information into clear, professional presentation materials.
- Maintain organised digital filing structures across OneDrive, SharePoint and Microsoft Teams.
- Establish consistent folder structures, naming conventions and document management standards.
- Ensure important information can be found quickly and is appropriately stored.
- Assist with data rooms, document collation and information requests.
- Maintain templates and help ensure documents leaving the business are consistently presented to a high standard.
AI & Technology
We want someone who is genuinely interested in technology and uses it naturally to work more effectively.
Responsibilities will include:
- Use AI tools to assist with research, meeting preparation, document drafting, presentations, summaries and administrative tasks.
- Look for opportunities to automate repetitive tasks and improve workflows.
- Become highly competent with the company's core technology platforms.
- Help colleagues make better use of AI and productivity tools.
- Assist with Microsoft 365, Teams, OneDrive and SharePoint organisation.
- Help manage meeting room technology, video conferencing and AV equipment.
- Confidently troubleshoot straightforward technology issues and coordinate external IT support where necessary.
- Help test and implement new software and technology across the office.
You do not need to be a developer or IT specialist. We are looking for someone who is technologically confident, curious and able to figure things out.
Office & Business Operations
- Help ensure the London office operates smoothly and professionally.
- Coordinate suppliers, equipment, deliveries and general office requirements.
- Assist with onboarding new employees and ensuring they have the equipment, systems and information they need.
- Maintain contact lists, team information and other operational records.
- Support company events, team meetings and business activities.
- Identify operational problems and take ownership of getting them resolved.
- Support different departments with ad hoc projects when required.
What We're Looking For
This role is much more about the individual than a particular academic or professional background.
We are looking for someone who is:
- Exceptionally organised and strong on detail.
- Bright, switched-on and quick to understand what is required.
- Proactive rather than reactive.
- Comfortable taking responsibility and following things through.
- Naturally confident with technology.
- An enthusiastic and capable user of AI tools.
- A strong written and verbal communicator.
- Able to produce polished documents and presentations.
- Comfortable communicating with senior professionals and external stakeholders.
- Able to manage multiple priorities without losing track of the detail.
- Resourceful and capable of solving problems independently.
- Keen to learn and develop quickly.
- Positive, adaptable and happy working across different areas of the business.
Most importantly, we want someone with a strong sense of ownership. If you see something that needs doing, we want your instinct to be to take responsibility for it rather than wait for someone else.
Skills & Experience
We expect the successful candidate will probably have around 1–3 years of professional experience, although we are more interested in ability and potential than a specific number of years.
Experience within property, construction, investment or professional services would be helpful but is not essential.
You should be confident using:
- Microsoft Outlook
- PowerPoint
- Word
- Excel
- Microsoft Teams
- OneDrive and/or SharePoint
- Modern AI tools such as ChatGPT or similar platforms
- Video conferencing and general office technology
Strong PowerPoint and document presentation skills would be particularly valuable.
The Environment
This is an office-based role in London and is suited to someone who enjoys being around people and becoming an integral part of a team.
Our environment is entrepreneurial and fast-moving. People are expected to contribute beyond narrowly defined job descriptions and help each other when something needs to get done.
Some days will be structured. Others won't be.
You need to enjoy that.
There may occasionally be a need for flexibility around working hours due to project deadlines, events or international meetings.
The Opportunity
For someone early in their career, this role offers an unusual level of exposure.
You will work alongside professionals involved in investment, capital, property development, design, construction and sales and see how major real estate projects progress from opportunity through funding, design and construction to completion.
We are looking for someone who wants to learn, become increasingly capable and take on more responsibility as the business grows.
If you are highly organised, technologically confident, ambitious and get satisfaction from making things happen, we would like to hear from you.
