We are seeking an organised, customer focused Lettings Coordinator to join our busy and growing lettings team. This is an excellent opportunity for an individual who thrives in a fast-paced environment and enjoys delivering exceptional service to landlords and tenants throughout the lettings process.
The successful candidate will play a key role in ensuring the smooth administration and coordination of our residential lettings portfolio, from initial enquiry through to tenancy commencement and beyond.
Key Responsibilities
In this role, you will:
- Act as the first point of contact for telephone and email enquiries from landlords, tenants and prospective tenants
- Coordinate and schedule property viewings, ensuring an excellent customer experience throughout
- Manage office and property keys, maintaining accurate records and authorising access where appropriate
- Undertake tenancy referencing, right to rent checks and due diligence procedures in line with current legislation and company requirements
- Prepare and issue tenancy agreements and all associated tenancy documentation accurately and within required timescales
- Coordinate check-in and check-out inventory reports and tenancy commencement arrangements
- Administer utility and Council Tax notifications efficiently and accurately.
- Maintain accurate records and update internal systems to ensure compliance and operational efficiency
- Support colleagues across the full lettings cycle and assist with additional administrative duties as required
- Follow and comply with all company policies, procedures and regulatory requirements
- Take a proactive approach to learning and professional development. Candidates will be expected to work towards and achieve Propertymark qualifications if these have not already been attained
Skills and Experience
The ideal candidate will demonstrate:
- Previous experience in a customer service, property, administration or lettings environment
- Excellent organisational and administrative skills with strong attention to detail
- The ability to manage a high volume of enquiries, competing priorities and deadlines
- Strong written and verbal communication skills
- Confidence in dealing with a wide range of customers and stakeholders in a professional and friendly manner
- Proficiency in Microsoft Office applications, including Outlook, Word and Excel
- A positive and proactive approach to problem solving
