The post holder will support the coordination of day-to-day scheduling, planning, and allocation of clinical staff within the Integrated Urgent Care (IUC) Clinical Assessment Service (CAS)
Working as part of the wider team, the role requires strong organisational skills, attention to detail, and the ability to maintain accuracy when handling workforce data to support safe and effective service delivery.
The post holder will have a keen eye for detail and have the aptitude to remain focused for long periods of time to ensure data quality and to provide meaningful analysis on a daily, weekly, monthly and ad-hoc basis.
Setting up advanced Rota’s for Clinician duty sheets and staffing sheets . Allocation of specific duties within the clinical duty sheets and ensuring all special roles are covered.
Checking and cross-referencing data from IEX, GRS and agency emails in - order to keep the appropriate spreadsheets up to date , so that staffing numbers are constantly a true reflection of the staffing we have versus the required safe staffing levels

The successful candidate will be responsible for the creation, maintenance and ongoing management of duty sheets, rotas and EOC staffing heatmaps to ensure accurate workforce planning and operational staffing across the service. The post holder will monitor staffing levels daily, identifying and updating any changes relating to absences, sickness, shift amendments, overtime and workforce availability, ensuring all records remain accurate and up to date. They will use workforce management systems including GRS, WFM and SystmOne to manage staffing information, schedule shrinkage and breaks, verify agency staff attendance, and record shift changes and overtime. The role will involve allocating operational duties and other ad hoc responsibilities, as well as maintaining staffing information. The post holder will proactively identify staffing gaps and role shortfalls, escalating concerns to management and taking appropriate action to secure cover through overtime and agency resources. They will liaise regularly with the wider team regarding staffing requirements, sickness management, shift amendments and workforce shortages. In addition, they will ensure EOC staffing heatmaps are updated in line with published six-weekly workforce requirements and are available for staffing meetings, while also providing support with monthly timesheet processes as required. This role requires excellent organisational skills, attention to detail and the ability to work effectively in a fast-paced operational environment.
