Job Summary: Provide exceptional front-line support, ensuring a welcoming and efficient experience for all building users and visitors. You are the first point of contact, dedicated to creating a positive impression and smooth operations within the client's workplace.
Key Responsibilities:
- Visitor & Reception Management: Greet and register visitors, issue passes, and manage parking arrangements.
- Meeting & Event Support: Coordinate meeting rooms, including setup, audiovisual equipment, and catering services.
- Workplace Environment: Maintain a pristine appearance in reception, common areas, and meeting rooms. Conduct daily floor checks and ensure high standards of functionality.
- Administrative Support:
- Handle all incoming and outgoing mail and courier services.
- Manage office and reception supplies, ensuring optimal stock levels.
- Assist with general administrative tasks, including event support and desk booking.
- Guest Services: Offer personalized support such as wayfinding, refreshments, and basic administrative assistance.
- Facilities & Equipment Oversight:
- Liaise with maintenance and IT teams for timely resolution of issues.
- Request and monitor building and housekeeping services.
- Conduct preventative maintenance checks on office equipment (e.g., photocopiers).
- Onboarding Assistance: Support the onboarding process for new employees, including orientation and welcoming procedures.
- Issue Resolution: Promptly address and resolve workplace service requests and complaints from building users.
- Safety & Compliance: Ensure safety standards are met and report any hazards identified within the workplace.
- Collaboration: Foster a collaborative environment by communicating key information with site teams and championing digital tools (e.g., HOST app) to enhance efficiency.
- Manual Handling: Perform light manual handling tasks as required (appropriate training provided).
Skills & Qualifications:
- Communication: Excellent verbal and written communication skills to interact with clients, visitors, and colleagues.
- Technical Proficiency: Intermediate skills in Microsoft Office Suite (Word, Excel, Outlook) and comfort with new digital tools and apps.
- Customer Focus: A strong commitment to providing outstanding customer service and anticipating needs.
- Problem-Solving: Ability to resolve issues effectively and manage competing priorities.
- Experience: A minimum of 1-2 years in a related role (e.g., Front Desk, Concierge, Hospitality, Customer Service) is preferred. Experience in facilities management is a plus.
