ROLE PURPOSE
To coordinate planned preventative maintenance, service visits, remedial works and call-outs so that the right engineer is in the right place at the right time. The role is central to the smooth running of the Service Department and requires strong planning, communication and relationships with engineers and customers.
KEY RESPONSIBILITIES
· Plan and schedule work for multiple field-based service engineers, balancing location, priority, skills and customer requirements.
· Process service and maintenance orders, arrange planned visits and respond quickly to emergency call-outs.
· Continuously review the engineer diary, identify inefficiencies and reorganise work when priorities change.
· Issue clear work instructions and ensure engineers have the relevant site information, documentation, materials and plant.
· Keep engineers, customers and internal teams informed of appointments, changes, delays and actions required.
· Liaise professionally with customers, manage enquiries and support the preparation and issue of service reports, worksheets, estimates and invoicing information.
· Complete and maintain accurate service paperwork and records, following agreed processes and procedures to ensure seamless communication, clear handovers and full traceability from job booking through to completion.
· Support the Service Manager with day-to-day engineer coordination, performance monitoring and continuous improvement within the department.
EXPERIENCE & SKILLS – ESSENTIAL
· Proven experience scheduling or coordinating multiple field-based engineers, technicians, operatives or mobile teams.
· Experience in fire protection, construction, M&E, engineering services, facilities management, maintenance or a similar technical environment.
· Strong planning and organisational skills, with the ability to manage competing priorities and work calmly under pressure.
· Confident communicator who can build positive, professional relationships with engineers, customers and colleagues.
· Proactive, decisive and comfortable adapting plans at short notice rather than waiting to be directed.
· Good IT skills, including Microsoft Office, with the ability to learn service-management and scheduling systems.

Hours: Monday–Thursday 8:00am–5:00pm | Friday 8:00am–3:30pm | Salary: Dependent on experience | Employment: Full-Time, Permanent | Role Type: Office-Based
