Dimension of the Role
The Event Coordinator is responsible for overseeing the comprehensive planning, coordination, and execution of a wide range of events. This role involves strategic planning, budget management, and leadership skills to ensure the successful delivery of high-quality events. The Event Coordinator will work closely with department heads, clients, and stakeholders to align client objectives with organizational goals.
Principal Objectives
- To lead the planning and execution of events from concept to completion.
- To develop and maintain strong relationships with clients, vendors, and stakeholders.
- To manage event budgets and resources efficiently.
- To ensure all events are delivered to a high standard and meet the objectives of the organization.
Key Priorities
1. Strategic Planning:
- Create comprehensive event plans, timelines, and schedules.
- Work in alignment with our clients to ensure delivery of their expectations.
2. Leadership and Team Management:
- Manage on the day event delivery by, delegating tasks and responsibilities effectively.
- Coordinate with cross-functional teams, including marketing, finance, and operations.
- Ensure team members are trained and equipped to perform their roles efficiently.
3. Vendor and Stakeholder Management:
- Establish and maintain relationships with vendors, suppliers, and clients.
- Negotiate contracts and agreements to secure favourable terms and conditions alongside the Sales & Events Manager.
- Liaise with clients and stakeholders to understand their needs and expectations.
4. Budget and Resource Management:
- Contribute to management of event budgets, ensuring cost-effective use of resources.
- Monitor and track expenses.
- Identify and mitigate financial risks associated with events.
5. Event Execution and Evaluation:
- Oversee the on-site execution of events, ensuring all aspects run smoothly.
- Handle any issues or emergencies that arise during events with professionalism.
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
6. Marketing and Promotion:
- Collaborate with the marketing team to develop promotional strategies for events.
