Event Operations Executive
Purpose of the Role
The Event Operations Executive will lead the coordination and delivery of Lockleaze Sports Centre's growing programme of commercial, corporate, community and sporting events. The postholder will be responsible for delivering exceptional customer experiences from initial enquiry through to event completion, whilst supporting the continued growth of the Centre's events and hospitality offer.
As a key member of the Operations Team, the role will also provide operational support across the Centre, including duty management, sport operations and customer service, ensuring the Centre operates safely, efficiently and professionally throughout the week.
Key Responsibilities
1. Events & Commercial Hire (Primary Responsibility)
The Event Operations Executive will take ownership of the day-to-day coordination and successful delivery of events and venue hire across Lockleaze Sports Centre.
Responsibilities include:
- Lead on the planning and delivery of allocated corporate, private, community and sporting events.
- Act as the primary point of contact for customers from enquiry through to event completion.
- Coordinate venue hire including meeting rooms, function spaces, kitchen hire and outdoor event spaces.
- Produce event plans, schedules and room layouts.
- Coordinate catering requirements with the Centre's catering partner.
- Liaise with customers, suppliers and contractors including DJs, security, entertainers and equipment providers.
- Ensure all events are delivered to an exceptional standard.
- Coordinate event set-up, delivery and post-event breakdown.
- Maintain accurate booking information within SportsKey and associated booking systems.
- Support invoicing and ensure bookings are correctly recorded.
- Work with colleagues to continually improve customer experience and event quality.
- Assist in developing new commercial opportunities and an annual programme of events that supports income generation.
2. Sales, Marketing & Business Development
- Generate new event enquiries through proactive sales activity.
- Develop relationships with businesses, community organisations and existing customers.
- Attend networking events and represent Lockleaze Sports Centre externally.
- Support venue show-rounds for prospective customers.
- Work with the Marketing Coordinator to promote events through digital channels and targeted campaigns.
- Maintain an up-to-date events calendar.
- Identify opportunities to increase venue utilisation and commercial income.
- Contribute towards achieving annual income and booking targets.
3. Operations Support
As part of the wider Operations Team, the postholder will:
- Undertake Duty Manager shifts as required.
- Open and close the Centre safely and securely.
- Support reception and customer service operations.
- Assist with operational planning during busy periods.
- Ensure health and safety procedures are followed.
- Support colleagues with the day-to-day running of the Centre.
- Respond to customer enquiries across reception, telephone, email and CRM.
- Assist with implementation of company policies and operational procedures.
- Support bar and hospitality operations when required.
4. Sport Operations Support
Working alongside the Sports Manager and the Sport Operations Executive, the postholder will:
- Support the delivery of sports bookings and tournaments.
- Assist with major sporting events and festivals.
- Coordinate changing room allocations and operational requirements.
- Support customer relationships with clubs, schools and community organisations.
- Assist in maximising utilisation of sports facilities.
- Coordinate catering requirements linked to sporting activity.
- Provide operational support during large sporting events.
Person Specification
Essential
- Experience coordinating events, hospitality or venue hire.
- Excellent customer service and communication skills.
- Highly organised with the ability to manage multiple events simultaneously.
- Strong commercial awareness and attention to detail.
- Confident using booking and IT systems.
- Ability to work flexibly, including evenings and weekends.
- Ability to work independently and as part of a team.
Desirable
- Experience within sport, leisure or hospitality.
- Experience using SportsKey or similar booking software.
- Sales or business development experience.
- Duty Manager or supervisory experience.
- First Aid qualification.
- Personal Licence holder.

Pay: £25,000.00-£27,500.00 per year
