Job Summary
The Legal Administrator / Co-ordinator is responsible for providing high-quality administrative and operational support to the legal team, ensuring the efficient day-to-day management of the department including; client communications, documentation, and office processes. The role requires exceptional organisational skills, attention to detail, discretion, and the ability to manage competing priorities in a fast-paced legal environment.

Reporting to the Legal Services Manager directly
Responsibilities
Administrative Support
· Provide comprehensive administrative support to solicitors, legal executives, and other legal professionals.
· Prepare, format, proofread, and amend legal correspondence, contracts, reports, and other legal documentation.
· Maintain accurate electronic and physical filing systems in accordance with legal and regulatory requirements.
· Manage incoming and outgoing correspondence, including emails, post, and courier deliveries.
· Schedule meetings and appointments ensuring calendars are effectively managed.
· Identify opportunities to improve administrative processes and implement efficiencies.
Client Coordination
· Act as a professional first point of contact for clients, regulators, and external parties.
· Ensure confidentiality is maintained in all client interactions.
· Maintain accurate records within the firm’s case management system.
Compliance and Quality Assurance
· Understand compliance including legal, regulatory, and professional obligations.
· Assist with anti-money laundering (AML), client due diligence (CDD), and identity verification processes where applicable.
· Ensure files are maintained in accordance with document retention and information governance policies.
· Contribute to internal audits and quality assurance activities.
Qualifications
· Previous experience in an administrative or coordination role, preferably within a legal or professional services environment.
· Strong administrative and organisational skills.
· Excellent written and verbal communication skills.
· High level of accuracy and attention to detail.
· Experience using Microsoft Office (Word, Excel, Outlook, and PowerPoint)
· Experience working with document management or case management systems
· Ability to manage confidential information with discretion.
· Strong time management skills with the ability to prioritise multiple tasks.
· Strong ability to multi-task in a high pace environment
Desirable
· Qualification in Business Administration, Legal Administration, or a related discipline.
· Experience supporting solicitors or legal professionals.
· Knowledge of legal terminology.
· Understanding of AML, GDPR, SRA Regulations, FCA guidelines or other legal compliance requirements.

Pay: £27,000.00 per year
