Job Location
This is an in-house, in-person role based at Finchley Studios in London.
The position is offered as a freelance, part-time role (three days per week). The working schedule includes a mix of weekdays and weekend shifts, depending on studio bookings.
There is strong potential for this role to become full-time as the business continues to grow and based on performance.
The Role
We are looking for a Studio Administrator & Front of House Coordinator who can support the day-to-day running of the studio, manage client communication and ensure a professional experience both online and onsite.
This is a varied operational role that combines administration, client support, outreach and front-of-house responsibilities.
You will help manage enquiries, support booking coordination, send structured cold outreach emails and assist with general office administration.
In addition, you will be the first point of contact for clients arriving at the studio — welcoming them, offering refreshments and ensuring the space is clean, organised and ready for each session.
Your role is to help ensure that Finchley runs smoothly, looks professional at all times and delivers a reliable, high-quality experience that encourages repeat bookings and referrals.
Responsibilities
You will manage incoming enquiries via email, phone and website, providing clear information about studio availability, services and pricing.
You will assist with booking coordination, updating schedules and maintaining organised records of client communications and leads.
A key part of the role includes proactive outreach. You will send targeted cold emails to production companies, agencies, brands and content creators to introduce Finchley Studios and generate new enquiries.
You will answer incoming calls professionally, qualify enquiries and ensure timely follow-up.
As part of your front-of-house responsibilities, you will welcome clients on arrival, offer refreshments and ensure they are comfortably set up for their session.
You will ensure that studio spaces, reception areas and common areas are tidy, organised and presentation-ready throughout the day.
You will support the in-house team with a variety of administrative tasks, including preparing quotes, updating availability calendars, organising documents and assisting with day-to-day operational needs.

Skills and Experience
Applicants should have at least two years of experience in administration, customer service, front-of-house, hospitality or office coordination.
Experience with client communication, booking management or cold email outreach is highly desirable.
You should have excellent written and spoken English, strong organisational skills and confidence using email, spreadsheets and basic scheduling or CRM tools.
A professional phone manner, a friendly and confident in-person presence, and strong attention to detail are essential.
Candidates must have the right to work in the UK and be available for weekend work.
